The first priority is calendar mastery.
The CEO, Jeff Socha, has a calendar that is complex and tied to client service, sales, leadership, and strategic priorities. The EA will begin by learning the existing rules, preferences, and decision logic, with more decisions escalated early. As trust is built, the role will become increasingly autonomous.
The scope will include full inbox ownership, communication management, meeting support, travel, personal logistics, and broader executive support.

WHAT YOU’LL DOCALENDAR, SCHEDULING & EXECUTIVE FLOW
- Become the master scheduler for Jeff’s calendar, balancing client, prospect, internal, strategic, personal, and travel priorities.
- Review the calendar daily and look ahead, identifying conflicts, missing context, insufficient buffers, and problems before they reach Jeff.
- Confirm appointments, pursue incomplete scheduling requests, manage reschedules, and ensure meetings include the right links, materials, context, and logistics.
- Protect focus time, breaks, and energy while helping reduce the number of people who can directly place meetings on Jeff’s calendar.
- Maintain Jeff’s call list, homework/action items, and time blocks needed to complete them.
- Provide a clear next-day briefing and ensure all meetings and commitments have a next action.
INBOX, COMMUNICATION & FOLLOW-THROUGH
- Triage Jeff’s inbox, surfacing urgent items, organizing communication, drafting responses, and identifying decisions needed. Grow into full inbox ownership as trust and context develop.
- Monitor calls, email, Teams, and other inbound communication, responding or redirecting conversations to the appropriate channel.
- Act as a communication bridge between Jeff, clients, prospects, leadership, and the team.
- Close loops consistently: communicate what happened, what happens next, who owns it, and by when.
- Communicate concisely, professionally, and directly while adapting tone to the audience.
MEETING, SYSTEM & LOCAL SUPPORT
- Prepare Jeff for select meetings with the right files, notes, context, and follow-up.
- Provide occasional personal and local support when it protects Jeff’s time, including mail, pickups/drop-offs, and errands, while serving as a local point person for planning and coordinating Austin-based company events and all-hands gatherings.
- Support occasional travel and gradually take on more travel-planning responsibility.
- Work confidently across Microsoft 365, Zoom, SharePoint, and One Drive, while learning Redtail, SCFiles, Calendly, and other systems.
