Scion Staffing has been engaged to conduct a search for an Executive Assistant for a leading credit union serving the Austin community. This is a hybrid position based in Austin, TX, with an expectation of working onsite at the organization’s headquarters 1–2 days per week and supporting events at other Austin-area locations as needed.
POSITION OVERVIEW:The Executive Assistant will provide high-level administrative support to the CEO, Executive Team, and Board of Directors, managing sensitive, confidential, and time-critical matters with professionalism and sound judgment. This role will serve as a key administrative liaison for Board activities, executive meetings, calendars, communications, events, and follow-up initiatives. The ideal candidate is proactive, highly organized, flexible, and comfortable supporting multiple senior leaders in a dynamic environment.

- Serve as the primary administrative liaison to the Board of Directors and its committees, including preparing board materials, coordinating meetings, documenting proceedings, and managing follow-up activities.
- Support the CEO and Executive Team by managing complex calendars, communications, travel arrangements, commitments, and competing priorities.
- Facilitate weekly Executive Team meetings by preparing agendas, coordinating logistics, and tracking follow-up items through completion.
- Plan and coordinate executive-hosted events and support Executive Team participation in community, charitable, volunteer, and external activities.
- Manage formal complaints received through regulatory entities or other channels, ensuring appropriate responses are prepared and submitted within required timelines.
- Maintain executive administration procedures and SOPs, cross-train administrative staff, and uphold organizational policies, procedures, and culture.
- Demonstrated experience supporting C-suite executives and/or multiple senior leaders, with the ability to anticipate priorities and manage competing demands.
- Experience supporting Board of Directors meetings and governance processes, including meeting preparation, minutes, board books, and familiarity with Robert’s Rules of Order.
- Highly organized, proactive, detail-oriented, and able to exercise sound judgment while handling confidential and sensitive information.
- Excellent written, verbal, interpersonal, and virtual communication skills, with strong proficiency in Microsoft Office; familiarity with Board Effect is a plus.
The anticipated base salary range for this position is $85,000–$100,000
