SUMMARY
Performs advanced (senior-level) administrative support work for the School Safety and Security department, with additional support provided to the General Counsel. This position ensures compliance with state-mandated safety and reporting requirements while supporting the department’s daily operations. The position contributes to the safety of students, staff, and visitors by managing compliance, documentation, coordinating reporting processes, and overseeing administrative functions for security operations.
Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.
ESSENTIAL FUNCTIONS
- Serves as a point of contact for the School Safety and Security Department, receiving calls, emails, and visitors and routing inquiries to appropriate department/staff.
- Maintains department systems including files, databases, contact lists, and shared calendars to support daily operations.
- Prepares correspondence by drafting, editing, and distributing reports, forms, and official documents.
- Coordinates logistics and scheduling for department meetings, drills, training sessions, and presentations.
- Supports policy updates by assisting in revising department policies, procedures, and handbooks to reflect compliance requirements.
- Maintains documentation by collecting, organizing, and storing departmental records.
- Maintains, tracks, and orders department office supplies and equipment; processes purchase requests and tracks department purchasing records.
- Monitors compliance deadlines, including assessments and reporting requirements from the Texas Education Agency (TEA), the Texas School Safety Center (TxSSC), and the State Office of Risk Management (SORM).
- Manages Sentinel reporting by entering, updating, and submitting data into the TxSSC Sentinel portal and other mandated safety reporting systems
- Maintains and updates emergency operations plans, including safety audits and multi-hazard emergency plans to ensure readiness and compliance with state standards.
- Maintains safety and security records, including threat assessments, drill logs, and other compliance documentation.
- Supports visitor management through the Raptor visitor management system, including badge issuance and troubleshooting support for front-office and campus staff.
- Monitors the Anonymous Alerts platform, routes submitted tips to the appropriate staff, and maintains documentation of responses.
- Processes access badge and key requests for staff, contractors, and vendors; maintains badge and key issuance logs and coordinates deactivation for departing staff.
- Prepares compliance reports and other documentation to support safety and security operations.
- Provides administrative support to the General Counsel on an as-needed basis.
MINIMUM QUALIFICATIONS
- Graduation from an accredited high school or equivalent (GED).
- Two (2) years of full-time experience providing senior-level administrative or office support, including experience managing records, tracking deadlines, and preparing correspondence and reports.
- Experience working independently, exercising discretion and sound judgment, and maintaining confidentiality of sensitive information.
- Sign Language:
The applicant does not need to have sign language skills at hire but will be required to participate in sign language classes offered at TSD until reaching a level of INTERMEDIATE as evaluated on the Signed Language Proficiency Interview (SLPI).
DESIRABLE QUALIFICATIONS
- Administrative support experience within a safety, security, risk management, or legal/compliance function.
- Familiarity with school safety and security reporting requirements (TEA, TxSSC, SORM, Sentinel).
- Experience with Raptor visitor management and/or Anonymous Alerts platforms.
- Experience providing administrative support to legal counsel or a general counsel's office.
- Experience working in a K-12 or higher education environment.
- Proficient sign language communication skills.
