This role also supports priorities across affiliated business and personal operations, requiring an executive assistant who is comfortable coordinating across multiple work streams and partnering closely with the broader support team.
Position Overview26 Keys Productions is seeking a highly organized, proactive, and discreet Executive Assistant to the President in Austin, Texas. This is a traditional, office-based executive support role with limited travel. The Executive Assistant will provide high-level administrative and operational support, serve as a key liaison with senior executives and entertainment-industry partners, and help the President manage priorities across two businesses and selected personal matters.
The successful candidate will combine polished executive presence with a practical, team-first mindset. They will own the business side of the support function while collaborating effectively with the Estate Manager and stepping in where needed rather than drawing rigid lines between business and personal responsibilities.
Key Responsibilities- Manage a complex and changing calendar, including meetings, calls, meals, travel, trade shows, and industry events.
- Coordinate meetings with internal team members, executives, producers, writers, agents, managers, attorneys, financiers, vendors, and business partners.
- Prepare daily schedules, meeting briefs, agendas, itineraries, presentations, and follow-up materials.
- Screen and prioritize calls, email, invitations, and other communications; draft and proofread correspondence as needed.
- Anticipate scheduling conflicts, protect the President’s time, and resolve issues before they elevate.
- Maintain organized records, contacts, project lists, status reports, meeting notes, documents, and confidential information.
- Track film and television projects across development, production, post-production, and distribution; coordinate related meetings and materials.
- Track scripts, treatments, decks, submissions, action items, commitments, and deadlines.
- Conduct research on talent, projects, companies, market activity, and entertainment-industry trends as requested.
- Coordinate domestic and international business travel and occasional attendance at festivals, premieres, screenings, conferences, awards, and industry functions.
- Process expense reports and support invoices, office needs, special projects, and other executive-level administrative matters.
- Partner constructively with the Estate Manager and other members of the support team on overlapping business and personal priorities.
- Handle sensitive business and personal matters with exceptional judgment, discretion, and confidentiality.
- Take ownership, follow through, and assist outside narrowly defined responsibilities when needed to keep priorities moving.
- 6+ years of experience as an Executive Assistant, Senior Executive Assistant, or in a comparable high-level support role.
- Demonstrated experience supporting a President, CEO, senior executive, producer, or other high-level principal.
- Exceptional calendar management, organization, prioritization, and follow-through.
- Outstanding written and verbal communication skills, with a polished and professional presence.
- Excellent judgment and the ability to handle highly confidential business and personal information.
- Ability to remain calm, resourceful, and effective in a fast-paced environment with changing priorities.
- Strong interpersonal skills and comfort interacting with executives, talent, agents, managers, attorneys, vendors, and other senior professionals.
