Who Are We Looking For?

We are growing and looking for an experienced Senior Onboarding Associate to serve as the liaison and dedicated resource to Plan Sponsors and Financial Advisors as they onboard to Vestwell’s platform. In this role you will manage projects, collaborate cross‑functionally with internal stakeholders to enhance our onboarding experience, and provide subject‑matter expertise on plan design and training for Plan Sponsors during onboarding.

Will You Be Doing?
  • Act as the primary internal client advocate representing plan sponsor and advisor contacts.
  • Manage all aspects of the onboarding process from point of sale through successful transition of new plans to our platform.
  • Coordinate with financial advisors, plan sponsors, prior recordkeepers, and/or third‑party administrators to determine conversion timelines, key action items, and delivery dates, and communicate overall project status to both external and internal stakeholders.
  • Collaborate cross‑functionally to provide support where needed and ensure the team can deliver against expected service level agreements.
Requirements
  • 2–4 years of project‑management experience leading team initiatives end to end; flexible, creative, team‑oriented, results‑driven, and able to collaborate with internal and external stakeholders.
  • Professional experience using and optimizing internal technical operational tools (e.g. Jira, Zendesk, Asana, Google Workspace), and helping others develop and employ best practices – bonus points for deployment/build experience.
  • Demonstrated aptitude for learning, creating, and iterating rapidly.
  • Willingness to learn retirement plan design and plan conversion processes from point of sale to release of conversion data.

Extras:

  • General knowledge of ERISA rules and requirements, and experience with one or more compliance / record‑keeping systems (e.g. Sun Gard Relius, ASC, FIS).
  • Qualified 401(k) Administrator (QKA) or higher ASPPA credential.
  • PMP or similar project‑management certification.

The role will be based in Vestwell’s New York or Austin office and will be expected to report to the office on a hybrid schedule.

The expected base salary range for this position is a minimum of $70 K–$80 K, plus performance‑based bonus. This position is eligible to participate in the Company Bonus Pool and receive new‑hire equity. Salary bands are based on NY and other similar metro areas and may differ based on the location where the role is ultimately hired.
