Overview

Finance Operations Specialist — ( 2601261 ). Position information:
Home to SXSW, Austin City Limits (ACL), and natural springs and parks, Austin, Texas, is a growing area and the Live Music Capital of the World. TxDOT's Financial Management Division is seeking a Finance Operations Specialist at the Stassney campus in Austin. The role involves coordinating communications, providing operational support, and assisting with recruiting, onboarding, and employee development initiatives. Work under limited supervision with latitude for initiative and independent judgment.

Responsibilities
  • Communication and Collaboration – Assist and participate in division meetings, events, and division-wide communications including email and presentation materials. Assist with division newsletter, online policy manuals, Crossroads web coordinator, Open Records Requests, Record Retention, and other division processes.
  • Operational Support – Oversee asset inventory, equipment setup, and security access for division staff. Serve as liaison for facilities, safety, and wellness compliance matters.
  • Recruiting and Onboarding – Assist HR and division leadership in recruiting activities (including interview scheduling and participation in job fairs). Serve as onboarding coordinator for new hires, interns, and contractors by facilitating equipment, workspace, system access, building orientation, and related needs.
  • Technical and Process Improvement – Utilize Microsoft applications (Excel, Power Automate, SharePoint, etc.) to improve workflows, track data, and enhance efficiency. Serve as technical writer for documenting and updating division processes and procedures. Identify and recommend process improvements to increase operational effectiveness. Perform other duties as assigned.
Minimum Qualifications Education

Bachelor's Degree in business administration, public administration, or a related discipline. Relevant experience may be substituted for education on a year-for-year basis. Substitutions for Minimum Qualifications are allowed on a year-for-year basis.

Experience

4 years of experience in business analysis, project or program administration, or related experience. (Experience can be satisfied by full-time or prorated part-time equivalent). Related graduate-level education may be substituted for experience on a year-for-year basis.

Preferred Qualifications
  • Bachelor's degree in Finance, Accounting, Economics, Business Administration, etc. highly preferred
  • Considerable knowledge of governmental laws, rules and regulations related to safeguarding information and information technology systems
  • Considerable knowledge of auditing and investigative methods, practices and procedures
  • Proficient in administrative support practices including writing, editing and report writing
  • Considerable knowledge of budgeting methods and procedures
  • Proficient skills in Microsoft Office 365 (Excel, Power Automate, SharePoint, Teams) and experienced with PowerPoint and visual communication
  • Proficient in presenting images and ideas clearly and engagingly
  • Proven ability to identify, recommend, and implement process improvements to enhance efficiency
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities in a high-visibility environment
Physical Requirements and Working Conditions
  • Sedentary work; lift up to 10 lbs at a time and occasionally carry files or small tools
  • Sitting for prolonged periods
  • Repetitive motion of wrists, hands, and fingers
