Administrative Management, Office Administrator/ Coordinator
LOCATION
NOTE:
This is an in-person position based at one of our campus locations.
Many schools hide operational functions behind closed doors, lengthy meetings, and multiple approval layers. Alpha takes a different approach. This role keeps you visible throughout the day: welcoming families, resolving device problems, ensuring smooth arrivals, reassuring concerned parents, managing vendor relationships, and creating a campus environment that feels secure, polished, and distinctly Alpha.
This position is designed for someone who can be approachable without compromising standards, systematic without becoming rigid, and self‑assured without distancing themselves from the work. You will oversee nearly everything beyond classroom instruction: family communication, attendance management, campus security, facility oversight, meal coordination, technology devices, event execution, and the minor issues that escalated when left unaddressed.
You will not be supported by a large on‑site operations staff. You will receive operational guides, remote assistance, and established protocols, but you must learn quickly, leverage available resources, and exercise sound judgment in real time. The payoff over time is becoming the reliable presence families recognize, the support Guides depend on, and the approachable adult students turn to when something needs attention.
WhatYou Will Be Doing
- Serve as the primary reliable contact for parents, students, staff, and visitors, delivering clear, composed, and prompt communication.
- Oversee daily campus operations, including morning arrival, afternoon dismissal, attendance tracking, transportation coordination, meal logistics, campus presentation, event management, and facility maintenance follow-through.
- Address safety protocols and student wellness matters, including building access, emergency drills, health situations, incident documentation, and parent notifications.
- Oversee student technology devices and fundamental campus IT needs, including initial setup, account assistance, basic troubleshooting, device backups, repair coordination, and escalation to remote technical support.
- Establish trust with Guides, external vendors, and families by prioritizing helpfulness while upholding established standards.
- Working from an isolated office while others manage the parent and student-facing experience.
- Leading classroom instruction, mentoring Guides, or developing academic curriculum.
- Deferring to management approval for every situation before taking action.
- Processing operational decisions through multiple meetings when the campus requires an immediate response.
- Delegating facilities, devices, vendor relations, or meal services as outside your scope.
