Dell Medical is seeking an Associate Director of Development, Events
PurposeReports to senior director of development, events. This position will work with the development team to identify, cultivate and steward donors through institutional and philanthropic events for UT Dell Medical. They are responsible for conceptualizing, planning and coordinating institutional-level and development events as assigned, ensuring that each experience is professional, aligned with UT Dell Med goals and priorities and showcases the impact of philanthropy.
Responsibilities- Strategic Event Planning & Program Development
- Contribute to the development of the annual events strategy by providing insights, recommendations, and operational expertise aligned with institutional priorities and fundraising goals.
- Lead execution of the strategic events plans, ensuring development-focused events support donor cultivation, stewardship, campaign priorities, and prospect engagement.
- Translate strategic direction into compelling, donor-centric event programming that elevates engagement and advances relationship-building.
- Identify and secure faculty, speakers, and program participants to support enterprise event objectives and messaging.
- Event Execution & Project Leadership
- Lead the planning and execution of a portfolio of high-impact in-person, virtual, and hybrid events, ensuring alignment with strategic direction and reflective of enterprise’s standard excellence
- Oversee day-to-day event management, including timelines, logistics, run-of-show development, and onsite execution.
- Serve as project lead for assigned events, coordinating across stakeholders while escalating key decisions and risks to senior leadership as appropriate.
- Partner with communications and development teams to implement messaging, scripts, and event materials that reflect established strategy and brand standards. Financial,
- Vendor & Resource Management
- Manage event budgets and track expenses, ensuring alignment with approved parameters and advising leadership on risks or optimization opportunities.
- Responsible for submission of financial documentation, end-to-end
- Lead sourcing, negotiation, and coordination of vendor contracts in compliance with institutional policies; escalate exceptions or high-impact decisions as needed.
- Maintain and strengthen vendor partnerships to support efficient execution and high-quality delivery.
- Operations & Performance Tracking
- Provide day-to-day coordination and guidance to event staff, including delegation, support, and alignment on priorities.
- Lead staffing plans and oversee onsite team coordination to ensure seamless event execution.
- Execute post-event evaluation processes, including survey tracking, reporting, and ROI analysis; share insights and recommendations with leadership.
- Maintain and enhance operational processes, tools, and documentation to improve efficiency, consistency, and team effectiveness.
- Ensure all data is accurately reflected in the CRM.
- Supports special projects such as campaign branding refresh and creative audits.
- Assists with feasibility studies and quiet-phase campaign strategies

Minimum Qualifications
Requires a Bachelor's Degree in Communications, Public Affairs, Nonprofit Management, or related field with at least 3 year(s) of experience in direct event management.
- Experience supporting senior administrators, faculty, and gift officers.
Master's Degree in Public Administration, Higher Education, or related field with at least 5 year(s) of experience in strategic event planning and donor engagement.
