Paradise Law Group is a fast-growing boutique law firm focused exclusively on providing legal opinions for real estate loan transactions. We partner with some of the most recognized names in real estate law, integrating seamlessly with borrowers’ deal counsel, lender’s counsel, and our clients to produce and finalize high-quality opinions.

Our team is fully remote, and this position is also fully remote. As the firm continues to grow, we are focused on building the operational structure, systems, and leadership needed to support a high-volume, high-quality legal practice.

The Role

We are seeking an Executive Director to serve as the administrative and operational lead of our law firm. This role is responsible for translating firm strategy into daily execution. The right candidate will help build and manage the systems, processes, people, vendors, and reporting infrastructure needed for a growing law firm to operate at a consistently high level.

This is a hands-on leadership role. It requires someone who can move between high-level planning and practical execution, including operations, HR, finance administration, vendor management, compliance tracking, technology adoption, marketing coordination, and client experience.

The ideal candidate is organized, systems-oriented, highly accountable, and comfortable working closely with firm ownership and attorneys.

Key Responsibilities Operations & Systems Management
  • Develop, maintain, and improve firmwide workflows, processes, and Standard Operating Procedures.
  • Help ensure attorneys, paralegals, and administrative staff follow consistent matter-management procedures.
  • Work with firm leadership and legal team members to identify bottlenecks, improve handoffs, and reduce administrative friction.
  • Manage the firm’s practice management software and related technology systems.
  • Ensure attorneys and staff are trained on firm systems, digital tools, and basic security protocols.
  • Oversee vendor relationships, including IT, software providers, phone systems, office services, insurance providers, and other non-legal service providers.
  • Maintain an administrative calendar for renewals, deadlines, compliance items, benefits, payroll, insurance, CLE, and other recurring firm obligations.
  • Monitor key performance indicators, including revenue, collections, accounts receivable, profitability, matter volume, payroll costs, and operational expenses.
  • Coordinate with outside bookkeepers, accountants, payroll providers, and tax advisors.
  • Support firm ownership with budgeting, forecasting, expense review, and financial reporting.
  • Help identify administrative inefficiencies, unnecessary expenses, and opportunities for improved profitability.
  • Support year-end financial and tax coordination, including payroll reconciliation, W-2s, 1099s, owner compensation records, and tax-preparation support.
  • Lead or coordinate recruiting, interviewing, onboarding, and integration of new attorneys and support staff.
  • Maintain employee records, onboarding documents, offer letters, handbook acknowledgments, benefits elections, and related personnel documentation.
  • Support basic HR administration, including employee questions, policy updates, performance documentation, and role clarity.
  • Facilitate structured review processes and professional development plans for attorneys and administrative staff.
  • Oversee payroll administration in coordination with payroll providers, including salary payroll, bonus payroll, reimbursements, benefits deductions, and retirement contributions.
  • Coordinate multistate payroll registration, setup, and compliance oversight as the firm grows.
  • Administer employee benefits in coordination with brokers and providers (healthcare)
  • Coordinate 401(k) plan administration, including eligibility, enrollment, census data, employer contributions, notices, annual testing support, and coordination with the TPA, payroll provider, and plan advisors.
Legal Administration & Compliance
  • Track and coordinate attorney licensing, state bar renewals, CLE requirements, and related professional compliance obligations.
