Our client is an integrated architecture, interior design, construction, and furnishings

company. The Estimator will lead the company’s budgeting, bidding, and purchasing efforts and serve as a key connection point between design, pre-construction, and project management.

We are looking for someone who can take projects from early design budgeting

through final fixed-price construction pricing and then remain involved during construction to

support purchasing, procurement, and project execution.

This person will work closely with company leadership, architects, interior designers, project managers, subcontractors, and vendors. The Estimator should be highly organized, detail-

oriented, financially minded, and capable of understanding both the drawings and the

construction process well enough to identify missing information, clarify scopes, compare bids

accurately, and help set each project up for success before construction begins.

Duties and Responsibilities

Preliminary Estimating + Design Phase Budgeting

  • Develop preliminary construction budgets while projects are still in schematic design and design development.
  • Perform internal quantity takeoffs and use historical cost information, current market pricing, allowances, and subcontractor input to establish accurate early budgets.
  • Review architectural and interior design documents to understand scope, complexity, material selections, and potential cost impacts.
  • Work closely with the architecture and interior design teams to provide real-time budget feedback as projects develop.
  • Identify areas of cost concern early and help leadership evaluate opportunities for value engineering without compromising the overall design intent.
  • Maintain and update project budgets as drawings, selections, engineering, and scope become more defined.

Final Bidding + Fixed-Price Construction Pricing

  • Lead the complete bidding process once construction documents and project specifications are ready for pricing.
  • Prepare bid packages and distribute plans, specifications, scopes, and supporting information to Cedar & Oak’s qualified subcontractors and vendors.
  • Solicit multiple competitive bids for each major trade and purchasing category, with a goal of obtaining three qualified proposals whenever practical.
  • Review every bid in detail to confirm pricing is complete, accurate, and aligned with the drawings, specifications, selections, and intended scope of work.
  • Communicate directly with subcontractors and vendors to clarify exclusions, assumptions, allowances, quantities, and inconsistencies.
  • Level bids so leadership can make clear, informed comparisons between subcontractors and vendors.
  • Provide recommendations based on pricing, scope coverage, quality, experience, schedule, and prior performance while understanding that final selection will be made collaboratively with leadership and the project manager.
  • Assemble the complete project budget for leadership review and preparation of the company’s fixed-price construction contract.
  • Confirm all required scopes are included and identify any gaps, overlaps, or unresolved items before the final budget is approved.

Project Handoff + Construction Readiness

  • Work closely with the project manager to build out and confirm the project file before construction begins.
  • Ensure the project manager has complete information regarding subcontractor bids, vendor proposals, scopes, allowances, selections, purchasing requirements, and long-lead items.
  • Participate in pre-construction handoff meetings and clearly communicate key assumptions, pricing decisions, unresolved items, and project-specific risks.
  • Help establish purchasing and procurement priorities based on the construction schedule.
  • Confirm that awarded vendors and subcontractors understand their final scope before work begins.
  • Maintain organized and accessible records of bids, proposals, quotes, contracts, pricing revisions, and purchasing information.

Purchasing + Procurement Support

  • Support project managers throughout construction with purchasing and procurement of materials, fixtures, equipment, and other project-specific items.
  • Track long-lead items and identify purchasing deadlines early enough to protect the construction schedule.
  • Coordinate with project managers, interior designers, vendors, and suppliers to confirm quantities, specifications, pricing, lead times, delivery requirements, and order status.
  • Maintain purchasing schedules that clearly identify when decisions, approvals, orders, and deliveries are required.
  • Assist with purchase orders, vendor confirmations, and procurement documentation as needed.
  • Monitor changes in pricing, availability, or lead times and communicate potential impacts quickly to the project team.
  • Help resolve purchasing issues, substitutions, shortages, delayed materials, and vendor questions during construction.
  • Serve as a primary support resource for project managers when additional pricing, purchasing, or subcontractor coordination is needed.
