Position: (S) Seasonal Client Support Coordinator

Job Purpose

SXSW is seeking a motivated Seasonal Client Support Coordinator who is passionate about delivering a stellar client experience. This role will support our team by delivering high-quality customer service and maintaining effective internal processes and workflows. A successful candidate is a self‑sufficient, detail‑oriented team player who contributes to the Revenue Operations Department's overall success and efficiency. Duties & Responsibilities

Responsibilities include, but are not limited to:

  • Serve as a point of contact for sponsors and clients, delivering timely, professional, and solution‑oriented support.
  • Manage inbound questions, requests, and issues related to exhibitions, client events, credentials, way finding, and on‑site logistics.
  • Oversee the printing, distribution, and troubleshooting of sponsor and client credentials to ensure accuracy and compliance with access levels and brand standards.
  • Accurately track, document, and resolve client inquiries using internal tools and systems.
  • Coordinate closely with internal SXSW teams to escalate issues and ensure prompt resolution.
  • Maintain clear, organized records to support reporting, follow‑ups, and post‑event evaluation.
  • Uphold SXSW brand standards and client service expectations in all interactions.
On‑Site Event Responsibilities
  • Serve as a point of contact at the Sponsor & Client Help Desk during the event.
  • Act as the front‑facing support representative for sponsors and partners, providing real‑time assistance in a fast‑paced environment.
  • Manage on‑site badge and credential printing operations for sponsors and clients, including verifying access permissions, resolving discrepancies, and ensuring efficient turnaround times.
  • Troubleshoot on‑site challenges and proactively identify solutions to enhance the client experience.
  • Communicate effectively with internal teams, vendors, and temporary field staff to resolve issues quickly.
  • Support on‑site operational needs as assigned, including coordination, documentation, and workflow execution.
  • Maintain a calm, professional, and friendly demeanor while managing high volumes of inquiries.
Qualifications & Skills
  • Knowledge of industries represented at SXSW and a passion for working with the creative community.
  • Proven customer service experience, preferably in live events, hospitality, or client‑facing roles.
  • Strong organizational skills with exceptional attention to detail and follow‑through.
  • Ability to multitask, prioritize, and adapt in a dynamic, fast‑paced environment.
  • Exceptional written, oral, and interpersonal communication skills.
  • Keen ability to effectively communicate across internal teams, clients, vendors, temporary field staff, and personnel.
Physical Requirements

The physical demands described here are representative of those that an employee must meet to perform the essential functions of this job successfully:

  • Prolonged periods of sitting or standing at a desk and working on a computer.
  • Ability to lift to 20+ pounds occasionally, as needed.
  • Manual dexterity to operate standard office equipment such as computers, phones, printers, etc.
  • May require occasional bending, reaching, kneeling, or climbing stairs.
  • Ability to work outdoors, including exposure to varying temperatures or noise levels.

Work Location & Schedule

This is a Seasonal position in Austin, Texas, for the month of March. Must be available to work full‑time, extended hours during the March event.
