Purpose

The Academic Program Coordinator serves as an integral member of the Texas Evening MBA operations team and a strategic operational and student services partner for the Texas Evening MBA (TEMBA) program. This role is responsible for delivering high-level administrative support, managing complex program logistics, and functioning as a central point of contact for students, faculty, and staff across the MBA portfolio.

Responsibilities
  • Program Coordination:
    Assists in local and offsite class weekends and events, and serves as backup to Senior Academic Program Coordinators; includes close coordination and frequent communications with faculty, staff, caterers, custodial staff, hotels, travel providers, guest speakers and more.
  • Student Affairs:
    Provides problem‑solving and resource referrals for students; creates, maintains and distributes weekly program updates for students, student resources web pages, and ad hoc email announcements; triages email inquiries, proactively and independently researches matters, communicates information across multiple team members; supports program team in execution of all class sessions and events, including New Student Onboarding, Orientation, Student Organization activities and Graduation;

    builds and maintains relationships with faculty, students, cross‑functional team members and internal/external vendors.
  • Student Organization Advising:
    Advises MBA student organizations on community building initiatives, liaises on University policies, procedures, and resources, and manages budget allocation.
  • Strategic Initiatives:
    Provides feedback on current processes and supports planning and implementation of process improvements.
  • Stakeholder Coordination:
    Creates, processes and maintains documents for all travel (including processing staff and faculty RTAs and travel reimbursements), and coordinates travel; maintains student listservs; maintains student and faculty rosters; provides ad‑hoc support to program leadership; other functions as assigned.
Required Qualifications
  • Bachelor’s degree and 3 or more years of relevant experience coordinating programs.
  • Ability to work flexible hours, including evenings and weekends; ability to travel within the state of Texas.
  • Strong organizational skills and attention to detail.
  • Outstanding written and verbal communication skills.
  • Proficient with Microsoft Office and comfortable learning new systems (Canvas, Qualtrics, etc.).
  • Customer‑focused with the ability to exercise discretion and confidentiality.
  • Capable of prioritizing, multi‑tasking and meeting deadlines with minimal supervision.
Preferred Qualifications
  • Experience coordinating academic or student‑facing programs in higher education.
  • Event planning or logistics experience supporting large‑scale or professional events.
  • Prior experience at UT Austin or another higher‑ed institution.
  • Familiarity with complex academic operations (registrations, advising processes, travel/financial workflows).
  • Service‑oriented approach and an ability to anticipate stakeholder needs.
  • Strong critical thinking and problem‑solving skills.
  • Ability to build interpersonal relationships across diverse student, staff, and faculty groups.
  • Initiative, follow‑through, and the ability to manage details in fast‑paced environments.
Salary Range
  • $50,000 + depending on qualifications
Working Conditions
  • Standard office environment (shared workspace) with repetitive use of a keyboard at a workstation.
  • Required availability for evening TEMBA class sessions and occasional travel.
  • This position is based in Austin, Texas.
