Purpose

The CAEE Graduate Coordinator is responsible for coordinating all phases of graduate program activities. This role requires strong organizational, communication, and leadership skills, as well as a commitment to student success and professional development.

Responsibilities
  • Academic Program Support – Coordinating administrative components of the graduate programs, ensuring compliance with institutional rules, preparing petitions and official letters, maintaining catalog updates, and liaising with multiple university offices.
  • Graduate Student Support – Maintaining accurate records for prospective, incoming, and current students, processing paperwork, advising on policies, coordinating fellowships, and ensuring timely funding and support packages.
  • Recruitment Coordination – Designing and implementing recruitment strategies, organizing events, representing the department at conferences, and coordinating visa matters with the International Office.
  • Admissions – Managing applicant communications, updating the departmental website and materials, and handling the clerical processing of applications.
  • Data Requests – Providing statistics and reports for program analysis, maintaining records with confidentiality.
  • Program and Event Coordination – Organizing orientation and other events, supporting the mentoring program, and providing administrative support for related programs.
  • Assist with special projects and duties as assigned.
Required Qualifications
  • Bachelor’s Degree plus five years’ experience working with college students in an academic counseling capacity.
  • Problem‑solving ability and composure under challenge.
  • Efficiency and effectiveness under pressure with frequent interruptions.
  • Student advocacy and strong interpersonal skills.
  • Professional, confident demeanor with diplomatic interaction skills.
Preferred Qualifications
  • More than the required years of experience with college students or academic counseling.
  • Prior experience with UT program coordination or student services procedures.
  • Knowledgeable of university resources and campus culture.
  • Strong multitasking, discretion, and initiative with team collaboration.
  • Knowledgeable about the Department of Civil, Architectural, and Environmental Engineering and the Cockrell School of Engineering.
Salary

$55,000 + depending on qualifications
