Responsibilities
  • Room patients, take and document vital signs and prepare patients for provider.
  • Ensure completion of all necessary paperwork for both new‑patient intake and established‑patient follow‑up.
  • Review providers’ refill inbox and assist with queueing medication requests and routing to provider for approval.
  • Review EMR system triage inbox for any relevant items.
  • Review result note in inbox and call/inform patients of normal lab results.
  • Coordinate pharmacogenomic testing and related processes.
  • Help plan, organize, and direct the Pediatric Behavioral Health Department’s clinic and administrative support functions.
  • Coordinate and streamline overall processes for the Behavioral Health team.
  • Contact patients who are overdue for follow‑up to assist with scheduling and address any barriers.
  • Follow up by phone or letter with at‑risk patients to help keep them connected to care.
  • Coordinate and manage provider communication and scheduling.
  • Help connect patients to community resources.
  • Coordinate care with other care team members.
  • Ensure rooms are properly stocked and supplies are current and within expiration.
  • Administer medication under physicians’ direction and within the scope of practice as demonstrated by completion of training and testing.
  • Perform diagnostic testing such as EKGs, audiograms, typanograms, spirometry, and visual screenings as instructed, and document in EMR system.
  • Post patient test results through patient’s MyChart.
  • Clean patient rooms as needed, including proper handling of dirty linens.
  • Refill medication per ARC refill protocol.
  • Assist providers with procedures by setting up equipment, assisting with patient preparation, and cleaning and storing equipment after exam. Obtain applicable consents and complete all necessary documentation in EMR system.
  • Maintain equipment (autoclaves, sterilization, washing speculums, checking expiration dates, etc.).
  • Answer incoming phone calls to triage and may determine if the call is low or high acuity by demonstrating strong listening skills.
  • Continue to assist patient in a non‑clinical situation if applicable.
  • Forward to the appropriate clinical staff member on duty if clinical intervention is needed.
  • Track and handle: add symptoms and questions, medication refill requests, referral questions, requests for copies of lab or immunization records, requests for lab releasing to MyChart, lab results signed‑off by the provider, general calls from pharmacies, and medication not covered by patient insurance.
  • Utilize smart phrases when taking phone messages and when routing directly to the appropriate staff.
  • Train new employees as needed.
  • Assist in scheduling staff as needed.
  • Perform other duties as assigned.
Qualifications

Education:

  • High school diploma or equivalent.
  • Required to meet one of the following:
    • Medical Assistant experience.
    • CNA/EMT/PCT (or other comparable experience) providing direct patient care with manual vitals and medication/injection administration.
    • Graduate of a medical assistant program.

Preferred:

  • Six (6) months or more experience as a Medical Assistant.
  • Experience working in a behavioral health practice.

Certificate/License:

  • Medical Assistant certification preferred.
  • Current AHA‑approved Basic Life Support (BLS) Healthcare Provider CPR course completion card or within 60 days of hire required.

Knowledge, Skills, and Abilities:

  • Ability to administer medications and injections within scope of practice.
  • Knowledge of medical terminology and procedures.
  • Excellent organizational skills.
