Job Summary And Qualifications

The Patient Access Specialist is responsible for answering incoming phone calls, scheduling patient appointments, routing calls and communicating to the appropriate colleague and/or Provider. The Patient Access Specialist serves as a liaison between patient and practice support staff.

General summary of duties

Position functions as an internal call center colleague.

Duties include but not limited to
  • Answer incoming calls in a timely and professional manner
  • Scheduling, canceling, and rescheduling patient appointments.
  • Verification and accurate entry of patient demographics
  • Select accurate insurance carrier plans and informs the patient of any carrier that is out of network
  • Inform the patient of any testing requirements according to the instructions and queries in the scheduling module. Communicate order/test with practice staff as applicable.
  • Ensure that any edits are performed in the practice management tool/EMR
  • Ensure all required information is accurate and complete in the practice management tool/EMR
  • Select the correct patient medical record number consistently
  • Utilize appropriate system to communicate with office colleagues and patients as necessary
  • Maintain professional level of conduct with regarding attitude and communication with colleagues and patients.
  • Protect the confidentiality of our patients’ privacy and provide excellent patient care
  • Practice and adhere to the Code of Conduct and Mission and Value Statements
  • Must read and understand and adhere to all Physician Services policies and procedures
  • Other duties as assigned
Education
  • High School Diploma or GED preferred
Experience
  • One year of customer service experience preferred
  • One year of high-volume phone/call experience preferred
  • One year of medical terminology/healthcare experience preferred

  • N/A
Knowledge, skills and abilities
  • Communication - communicates clearly and concisely, verbally and in writing. This includes utilizing proper punctuation, correct spelling and the ability to transcribe accurately.
  • Patient orientation - establishes and maintains long-term patient relationships, building trust and respect by consistently meeting and exceeding expectations
  • Interpersonal skills - able to work effectively with other employees, patients and external parties
  • PC skills - demonstrates proficiency in Microsoft Office applications and others as required
  • Policies & Procedures - demonstrates knowledge and understanding of organizational policies, procedures and systems
  • Basic skills - demonstrates ability to organize, perform and track multiple tasks accurately in short time frames, have ability to work quickly and accurately in a fast-paced environment while managing multiple demands, ability to work both independently and collaboratively as a team player, adaptability, analytical and problem solving ability and attention to detail and able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately.
