Purpose

The Special Events Catering Coordinator is responsible for assisting in the coordination of special events for Forty Acres Catering within Longhorn Hospitality under University Housing and Dining (UHD) at the University of Texas ks with catering leadership and culinary teams to assist in coordinating all catered event functions from beginning to finish. Monitors attendance and performance of event staff, communicates effectively with clients, and ensures 5‑star customer service.

Responsibilities
  • Assist Catering Leadership in coordinating and executing catered special events, including preparation, on‑site management, and post‑event breakdown, while supporting non‑special events as business needs require. Primary focus will be on proper execution of UHD special events, university events and experience, presidential events, UT systems development office, high‑level events and special programming.
  • Communicate event details effectively to operations and culinary teams and maintain strong working relationships with internal and external clients across UHD and other university departments.
  • Provide direction and on‑site supervision to event staff, conduct pre‑ and post‑shift meetings, support training and onboarding, and foster the growth and development of full‑time, student, and temporary staff. Other duties as assigned.
  • Develop detailed event plans, timelines, and run‑of‑show documents; ensure compliance with university policies, safety standards, and TABC requirements; and manage event logistics including delivery and setup.
  • Deliver and retrieve food and equipment for events and safely operate university vehicles, including golf carts, vans, and box trucks, as needed.
Required Qualifications
  • High school diploma or GED.
  • 3 years of operational experience in food service, catering, and/or event coordination.
  • Experience in operating, maintaining, and cleaning servicing equipment and tools.
  • Ability to complete and maintain Food Safety Training required by University Housing and Dining.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Bachelors Degree.
  • 4 or more years of operational experience in catering and/or event coordination.
  • Experience training or leading staff.
  • Experience working in higher education.
  • Experience with Microsoft Office.
  • Experience with catering software and/or a BEO management system.
Driving Required

This job requires a class “C” operator’s driver’s license. The applicant selected must provide a current three‑year driving record from the current state of residence. If not currently a Texas resident, a Texas driver’s license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre‑employment, post‑accident, reasonable suspicion, random, return‑to‑duty, and follow‑up drug and alcohol testing).

$45,000 + depending on qualifications
