The RoleWe're looking for a sharp, organized, and people-oriented Recruiting Assistant to support our physician recruiters and account managers as we scale. In this role, you'll sit at the center of the placement process keeping deals moving, providers informed, and our team focused on what they do best. Think of yourself as the engine behind the engine.
This is an excellent entry point into healthcare staffing for someone who is detail-driven, thrives on relationship‑building, and wants a clear path toward a full recruiting or account management role.
What You’ll Do- Support top recruiters by managing candidate pipelines tracking outreach, follow‑ups, and placement status across multiple active providers
- Coordinate scheduling between psychiatrists and client facilities, including interviews, availability confirmations, and shift coverage details
- Maintain and update our database of 80,000+ behavioral health providers with accurate, current information
- Assist with preparing provider profiles and submittals for presentation to client organizations
- Follow up with providers and facilities to ensure smooth progression from placement to start date
- Help track credentialing timelines and flag any documentation gaps to the recruiting team
- Communicate professionally with physicians, nurse practitioners, and healthcare administrators via phone and email
- Handle logistics coordination including document collection, on‑boarding support, and timesheet follow‑up
- Provide general operational support to keep the team organized and on pace with goals
- Highly organized with strong attention to detail. Nothing falls through the cracks on your watch
- A clear, confident communicator. Comfortable picking up the phone and building rapport with providers and clients
- Proactive by nature — you spot what needs to happen next and you do it without being asked
- Eager to learn the staffing industry and grow into a more senior role over time
- Someone who thrives in a fast‑paced, goals‑driven environment where performance is recognized
- Associate’s or bachelor’s degree preferred; prior experience in healthcare, staffing, or administrative coordination is a plus
