Senior Payroll Specialist

We are seeking an experienced Senior Payroll Processor to oversee end-to-end payroll processing for approximately 300 employees across 5+ business divisions. This role is responsible for ensuring accurate and timely multistate payroll while partnering closely with the Head of HR to support payroll compliance, employee inquiries, and process improvements. Experience with Quick Books and Inova, as well as professional proficiency in Spanish, is essential.

Key Responsibilities:
  • Process full-cycle, multistate payroll for approximately 300 employees across 5+ business divisions.
  • Utilize Quick Books and Inova to ensure accurate payroll processing and recordkeeping.
  • Review payroll data for accuracy, including earnings, deductions, taxes, and benefit with holdings.
  • Partner closely with the Head of HR to resolve payroll issues.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Respond to employee payroll questions and resolve discrepancies in a timely manner.
  • Maintain payroll records and assist with payroll reporting, audits, and year-end processing.
  • Identify opportunities to improve payroll processes and efficiencies.

Qualifications:
  • 5+ years of full-cycle payroll processing experience.
  • Experience processing multistate payroll for 300+ employees.
  • Proficiency with Quick Books and Inova payroll systems is required.
  • Bilingual (English/Spanish) is required
  • Strong knowledge of payroll tax laws, wage and hour regulations, and compliance requirements.
  • Exceptional attention to detail with strong organizational and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Excellent communication skills and the ability to collaborate effectively with HR and leadership.
