Position Overview

Procurement Specialist – Operations is a key member of the centralized Procurement Department, supporting the Director of Procurement in building and running a best‑in‑class procurement function for UDT’s rapidly expanding club network.

Key functions include scaling and operationalizing UDT’s center‑led procurement activity, executing the Source‑to‑Pay strategy across indirect spend categories (technology, professional services, facilities, retail/COGS), and leading the implementation of the Ramp procurement platform.

Responsibilities
  • Support end‑to‑end implementation of the source‑to‑pay procurement platform, including catalog setup, approval workflows, and user onboarding.
  • Drive purchase‑order compliance across the organization by training stakeholders, maintaining guidelines, and monitoring adherence.
  • Manage e‑procurement catalogs, ensuring vendor and item data are accurate, current, and aligned with approved agreements.
  • Identify and report rogue purchasing patterns; recommend process improvements to close compliance gaps.
  • Administer the procurement platform, serving as the day‑to‑day internal resource for system questions and issue resolution.
  • Plan and execute competitive RFx events across indirect categories, preparing bid packages, supplier scorecards, and comparative analysis models.
  • Coordinate supplier outreach, manage response timelines, and maintain audit‑ready documentation for all competitive procurement activities.
  • Track savings outcomes against benchmarks and contribute to the team's savings reporting.
  • Own the retail product purchasing program, managing order guides and ensuring product availability and inventory compliance across club locations.
  • Monitor supplier performance on delivery commitments, pricing terms, and fill‑rate targets; identify opportunities for consolidation and value capture.
  • Maintain the supplier database, contract register, and insurance tracker; assist in onboarding and renewal management.
  • Support resolution of invoice discrepancies, pricing disputes, and performance issues.
  • Maintain clean, current spend and master data; generate regular spend reports, category summaries, and savings updates for procurement and finance teams.
  • Analyze spend patterns and identified opportunities for consolidation and cost reduction.
What Success Looks Like
  • Ramp procurement platform fully implemented, adopted, and operating as the single source of truth.
  • Competitive bids executed on time with clear documentation and defensible award decisions.
  • Retail and COGS purchasing program runs on system‑managed order guides with embedded supplier accountability.
  • Spend data remains clean, current, and actionable.
  • Internal stakeholders experience procurement as a business partner, not a bottleneck.
  • Compliance to PO and approval workflows improves measurably quarter over quarter.
Required Qualifications
  • Minimum 3 years of experience in procurement, purchasing, supply chain, or a closely related operational role.
  • Experience supporting or executing competitive sourcing events (RFQ/RFP) across multiple spend categories.
  • Strong analytical skills with proficiency in Excel and comfortable working with large datasets and spend analysis.
  • Familiarity with procurement or ERP platforms (Ramp, Coupa, Jaggaer, SAP Ariba, or equivalent).
  • Demonstrated ability to manage multiple concurrent work streams with competing deadlines while maintaining accuracy.
  • Strong written and verbal communication skills, capable of presenting findings clearly to non‑procurement audiences.
  • High degree of personal accountability; completes tasks and escalates issues promptly.
Preferred Qualifications
  • Experience in a multi‑unit retail, hospitality, fitness, or franchise operating environment.
  • Exposure to S2P platform implementations or system rollout projects;
    Ramp experience is a plus.
  • Bachelor’s degree in Supply Chain, Business, Finance, or related field (or equivalent experience).
  • Lean, Six Sigma, or process improvement background is a plus.
