A growing Austin-area manufacturing company is seeking an organized and proactive Buyer / Supply Chain Coordinator to support purchasing, material availability, supplier communication, and general administrative needs across the operation.
This role combines purchasing and supply-chain coordination with administrative support. The ideal candidate is comfortable managing changing priorities, following up with suppliers, maintaining accurate records, and assisting with day-to-day operational tasks as needed.
Key Responsibilities- Review production requirements, inventory levels, open orders, and operational priorities to identify purchasing needs.
- Create, issue, and maintain purchase orders for materials, supplies, services, and other operational requirements.
- Request and compare supplier quotes based on pricing, quality, lead time, freight, payment terms, and delivery requirements.
- Track supplier acknowledgments, open purchase orders, promised delivery dates, and past-due items.
- Proactively expedite materials and communicate potential shortages or delays.
- Coordinate purchased services and externally processed items from order placement through completion and return.
- Maintain accurate supplier, pricing, lead-time, purchasing, and material information in the ERP system.
- Work with internal teams to resolve receiving, quantity, documentation, and invoice discrepancies.
- Support supplier returns, replacements, vendor setup, credit applications, freight coordination, and routine supplier communication.
- Maintain purchasing files, quote history, order confirmations, shipping documents, certifications, and related records.
- Assist with inventory reviews, cycle-count follow-up, ERP data cleanup, and purchasing-process improvements.
- Prepare reports, update spreadsheets, organize electronic and physical records, enter data, and maintain operational documentation.
- Assist with scheduling, meeting coordination, document preparation, communications, and other general office or operational administrative needs.
- Provide administrative support to leadership and other departments as business needs require.
- Perform other purchasing, supply-chain, operational, and administrative duties as assigned.
- At least three years of purchasing, buyer, material-coordination, supply-chain, or related manufacturing experience.
- Experience creating and managing purchase orders through an ERP or MRP system.
- Experience obtaining supplier quotes, comparing purchasing options, and tracking orders through delivery.
- Strong Excel, Microsoft Office, data-entry, documentation, and recordkeeping skills.
- Strong organization and follow-through with the ability to manage multiple changing priorities accurately.
- Clear, professional communication when working with suppliers and internal teams.
- Willingness and ability to support administrative and operational needs outside of core purchasing responsibilities.
- Experience purchasing materials, supplies, services, or externally processed items for a manufacturing operation.
- Experience supporting inventory control, receiving, production, or material-planning activities.
- Previous experience in a blended purchasing, operations-coordination, or administrative-support role.
- Associate or bachelor’s degree in Supply Chain, Business, Operations, or a related field. Equivalent experience will be considered.
