Overview

The Assistant Director reports to the Director of the Butler School of Music and serves as the central manager of faculty affairs and staff operations, coordinating administrative needs across the school’s portfolio. The role provides strategic support and advisory to the Director while overseeing faculty HR lifecycle, staff HR, office operations, budgeting, and executive committee coordination.

Responsibilities
  • Manage faculty HR lifecycle: recruitment, hiring administration, onboarding, CPR, promotion & tenure support, merit review, visa approval, leave paperwork and faculty awards.
  • Serve as Department HR Representative: oversee staff lifecycle including recruitment, onboarding, performance management, annual appraisals, off‑boarding, and HR compliance via Workday.
  • Maintain department communication and organizational materials such as safety plans, staff listserv, org chart, and website directory.
  • Lead staff management: oversee direct‑report salaried staff (Registrar, Graduate Coordinator) and co‑manage Assistant to the Director and Piano Technicians, including scheduling, leave, performance management and training.
  • Coordinate office operations: quality assurance for building presentation, internal communication, Docu Sign administration, and building access coordination.
  • Manage faculty and staff budgets in collaboration with the Financial Officer, including seasonal budget work and soft funding advice.
  • Coordinate Executive Committee & annual accreditation oversight: plan agendas, manage logistical calendar, collect and archive committee reports, conduct surveys, and oversee accreditation data collection (NASM/SACS).
Required Qualifications
  • Bachelor’s degree or equivalent combination of education, training and experience.
  • Minimum three years of administrative support experience, including office or office leadership.
  • Minimum three years of salaried staff management experience with direct performance management.
  • Advanced experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams); experience with Qualtrix preferred.
  • Advanced writing and editing skills.
  • Demonstrated competencies in: initiative, teamwork, conflict management, decision making and critical thinking, effective communication, strategic planning, problem solving, service excellence.
Preferred Qualifications
  • Master’s degree.
  • Experience in university executive‑level offices.
  • Experience with human resource responsibilities.
  • Experience with faculty in higher‑education.
  • Experience with strategic planning.

Salary Range

$75,000+ depending on qualifications.
