Position Summary & Overview

The Cat Foster and Adoption Support Coordinator plays a key role in advancing the goals of APA!’s Foster and Adoption Support Program, with a focus on foster placement and support. This position contributes directly to APA!’s mission to increase the live release rate across Texas by supporting a sustainable, inclusive, and high-impact model for foster coordination.

Core Responsibilities
  • Coordinate and train cat foster caregivers, staff, and volunteers to ensure compliance with APA! policies, procedures, and protocols.
  • Provide concierge-level service to fosters and adopters, managing medical coverage inquiries, scheduling veterinary services, and addressing behavioral concerns.
  • Oversee a caseload of cats with scheduled follow-ups and outreach to foster parents.
  • Collaborate with onsite cat teams (care, adoptions, placement, intake) to ensure accurate information and medical requirements are provided for all cats and foster parents.
  • Offer continuous support and exceptional customer service throughout the fostering journey, communicating medical and behavioral needs.
  • Ensure fulfillment of medical and marketing needs for cats in foster care.
  • Maintain a systematic approach using Airtable for tracking milestones such as vaccine schedules, preventatives, and spay/neuter dates.
  • Work closely with Specialty Cat Coordinators to cover as needed.
  • Train the Cat Foster + Adoption Support Volunteers and delegate tasks accordingly.
  • Develop and maintain foster caregiver training materials and post adoption support resources.
  • Assist in creating toolkits for fosters and adopters in collaboration with the program team.
  • Support the events team by coordinating cat placements and event participation.
  • Partner with volunteers on daily tasks to foster a collaborative culture.
  • Support recruitment, onboarding, and retention of volunteers through guidance and encouragement.
  • Recognize volunteer contributions and set volunteers up for success with clear task explanations.
  • Complete other duties as assigned by management.
Working Relationships

Collaborates closely with the Foster & Community Placement Program Manager, Cat Foster & Adoption placement specialists, clinic staff, and case managers. Works in partnership with volunteers and other staff to maintain a volunteer-powered culture.

Other Functions

  • Maintain open communication with the Program Manager or designee and other colleagues.
  • Partner with Volunteer Admins to support volunteers in the department.

  • Work in a high-volume, fast-paced, high-stress environment.
  • Work autonomously when given goals and deadlines.
