Overview of the Philanthropy Team

The Philanthropy Team makes grants to university foundations and nonprofits that are intentional and strategic in how they support first-generation students on their academic path toward economic opportunity. Funding primarily supports scholarships and student success services for a cohort of López Scholars, bearing the name of the founders, as well as strategic partnerships with nonprofit organizations that support the HGLF mission.

Role Overview

The Grants Manager is a collaborative and communicative team member who applies their skills and aptitude for administration and process management to support the Foundation’s coordination and scaling of scholarship and grant cycles. This individual contributor role is integral to the Philanthropy Team’s ability to administer grants and the López Scholarship with integrity, consistency, and efficiency – managing the day-to-day administration of grant and scholarship processes (including compliance, documentation, and reporting) while also identifying and implementing process improvements that help the team scale its impact.

This position reports directly to the Foundation’s Director of Data and Strategic Impact and will work closely with other members of the Philanthropy Team and Finance Team.

Responsibilities
  • Manage Foundation processes for grants management and the López Scholarship, including administration, compliance, and review across the full grant and scholarship lifecycle.
  • Process, administer, and maintain contracts, agreements, and related documentation for grants and scholarships. This includes drafting, coordinating review of, distributing, and documenting Letters of Agreement with grantee partners, and maintaining up-to-date documentation of grant agreements, MOUs, budgets, and approved “change of use” requests for grant funds.
  • Support grant compliance reporting by pulling reports from the grants management system (Giving Data) as requested by program staff and leadership; assist with data entry, maintenance, and routine data hygiene to ensure accuracy and integrity; and organize and track required due diligence documentation.
  • Create documents from templates for grant applications, award letters, board one-pagers, and reporting materials, and identify opportunities for template standardization and automation.
  • Maintain the calendar of regular Philanthropy Team processes, including operational and compliance activities and grant and scholarship cycles. Create and update process documentation (SOPs) in partnership with the Philanthropy Team, and track compliance with Foundation policies and grant agreement requirements.
  • Consolidate and organize annual grant application information; project manage timelines for Philanthropy Team review of grant application data; and manage follow-up touchpoints and meetings with grantees.
  • Identify process optimization opportunities, implement cross-team process improvements, and resolve operational issues. Facilitate grant information flow between team members and across the Foundation.
Required Skills/Abilities
  • Strong administrative skills, including attention to detail and accurate record-keeping.
  • Demonstrated project management and organizational skills, including the ability to prioritize key deadlines and manage time across overlapping grant and scholarship cycles.
  • Ability to maintain confidential information and records securely, and ensure adherence to Foundation policies and applicable compliance requirements.
  • Ability to identify potential process improvements for optimization and efficiency, and a problem-solving mindset.
