PRIMARY FUNCTION
The Community Engagement Manager advances BGCAA's presence and impact in the communities it serves by strengthening community relationships, coordinating community-facing programmatic events, supporting requirements of the ACE Cycle 13 grant program, representing BGCAA at community-facing programmatic events, and keeping partnership-related projects organized and moving forward. The position combines consistent administrative and project coordination with direct community outreach.

KEY ROLES (Essential Job Responsibilities)
Community Engagement and Activation
- Build and maintain trusted relationships with schools, neighborhood groups, community-based organizations, families, and other stakeholders in the communities served by BGCAA and the ACE Cycle 13 grant program.
- Serve as a consistent liaison between BGCAA, community partners, and local stakeholders, ensuring timely communication and reliable follow-through.
- Conduct consistent follow-up with key partners and organizations to maintain relationships, confirm timing, and keep shared commitments moving forward.
- Support community-involvement, family engagement, partnership, and sustainability requirements of the ACE Cycle 13 grant program in coordination with the Programs Department and grant leadership.
- Coordinate community-facing programmatic events from initial planning through completion, including timelines, logistics, staffing, supplies, communications, partner coordination, and post-event follow-up.
- Work across Programs, Operations, Resource Development, Marketing, and other departments to clarify roles, deadlines, site readiness, and programmatic event expectations.
- Represent BGCAA professionally at assigned resource fairs, partner gatherings, and programmatic events, and communicate the organization's mission, programs, and community value to diverse audiences.
Project Management and Administrative Coordination
- Create and maintain project plans, calendars, task trackers, meeting agendas, notes, action items, and shared files for assigned partnership, engagement, programmatic event, and volunteer initiatives.
- Track deliverables, deadlines, dependencies, approvals, and partner commitments; follow up with responsible parties and promptly elevate bottlenecks or risks.
- Schedule and coordinate internal and external meetings, prepare background materials, document decisions, and distribute next steps.
- Maintain organized records in SharePoint or other approved systems, including contact lists, intake forms, agreements, programmatic event files, and project documentation.
- Maintain accurate records of community contacts, partner commitments, activities, programmatic event participation, outcomes, lessons learned, and next steps.
- Prepare concise updates, dashboards, briefing documents, one-pagers, and reports for the Director of Strategic Partnerships and senior leadership as requested.
- Support the consistent use and implementation of BGCAA's partnership framework and related administrative processes.
Targeted Business Support and Additional Program Support
- Provide targeted support to identify, research, contact, and follow up with prospective internship partners in coordination with the Director of Strategic Partnerships.
- Document outreach activity and partner responses and transition interested prospects into an established partnership process.
- Support tabling community events, programmatic event coordination, and other program or partnership priorities as assigned.
Volunteer Activation Coordination
- Receive and coordinate volunteer activation requests as opportunities arise, confirming project scope, site needs, available dates, volunteer capacity, supplies, and internal ownership.
