What We Are Looking For

We are seeking a Real Estate Administrator to join our team. This position reports directly to the Vice President of Real Estate and works closely with a highly collaborative team of professionals. The role requires daily communication with the VP of Real Estate and cross-functional collaboration to support the overall business by ensuring all real estate services and processes are executed efficiently and accurately.

This is not a leasing agent role. This is an administrative position designed for a highly organized professional who can manage processes and workflows related to lease documentation, rent payments, and extensive Excel spreadsheet reporting, with exceptional attention to detail.

The successful candidate will demonstrate strong organizational skills, excellent written and verbal communication abilities, meticulous attention to detail, and a positive, can-do attitude with a good sense of humor.

Position Overview

This role provides administrative and clerical support to the Real Estate Department. The Real Estate Administrator oversees the timely processing of real estate functions, including deal sheets, lease agreements, rent payments, invoices, and reporting, to ensure departmental efficiency and achievement of company goals. The ideal candidate is proactive, solution-oriented, and an effective communicator.

Essential Functions
  • Provide administrative support to the Vice President of Real Estate, Lease Manager, and Real Estate team to maintain departmental efficiency and coordinate with other departments.
  • Submit deal sheets to the CEO for approval.
  • Enter LFS documentation and respond to inquiries from the CEO and VP; contact Operations for feedback on locations and malls.
  • Manage the lease administration process from start to finish:
  • Log receipt of leases.
  • Review lease documents and request revisions as needed.
  • Process lease agreement packets.
  • Track lease agreements (LA), Certificates of Insurance (COI), and related materials for return to malls and developers.
  • Ensure timely execution by the VP of Real Estate.
  • Return fully executed lease agreements to landlords.
  • Enter rent payments.
  • Review, track, and properly file fully executed leases.
  • Process invoices and rent payments accurately and timely; assist with year-end sales reporting.
  • Negotiate onsite mall storage agreements and process related lease documentation.
  • Issue Certificates of Insurance.
  • Maintain files (hard copy and electronic) for leases and related documents.
  • Create and maintain reports using Excel.
  • Maintain strong landlord relationships with developers and mall management.
  • Maintain the office database with mall and developer contact information; set up logins and passwords for mall/developer access to SRV Exchange.
  • Maintain Real Estate department reporting files; create Excel reports to analyze business performance for the VP and Leasing Manager; prepare annual fiscal year sales recaps and annual sales reporting to malls; develop new reports as needed.
  • Organize lease processing according to Production Board priorities and departmental goals.
  • Serve as liaison between Store Operations and Real Estate to process storage requests: confirm availability, negotiate rates, submit for approval, process lease agreements, track documentation, and maintain files.
  • Work occasional overtime as needed.
Qualifications / Basic Requirements
  • 1+ years of related administrative experience.
  • Ability to read and comprehend basic lease documents.
  • Excellent record-keeping and organizational skills.
  • Strong verbal and written communication skills.
  • Strong time management skills with the ability to prioritize and meet tight deadlines.
