We are seeking a skilled Commercial Escrow Assistant for an established team in our downtown Austin office. In this role you will assist with day-to-day duties and help keep the team running smoothly. This is an excellent opportunity to step in, make an immediate impact, and help steer our upcoming projects to success.
Key Responsibilities- Open and set up new commercial escrow files
- Order title searches, surveys, payoffs, and tax certificates, review title commitments
- Simultaneously fund multiple transactions
- Complete closing packages; deliver to purchasers and/or lenders in a timely manner
- Coordinate with the appropriate county to record legal documents
- Communicate with buyers, sellers, lenders, attorneys, and real estate agents throughout the transaction
- Track deadlines, contingencies, and required documentation to ensure timely closings
- Deposit incoming wires, checks, and cashier’s checks to the appropriate file
- Balance and manage funds, including final charges and invoices
- Disburse funds via check or wire transfer based on client preference
- Maintain accurate, organized digital and physical file records
- Provide general administrative support to the commercial escrow team, including occasional reception coverage
- High school diploma required
- 1+ years of experience in commercial title insurance, escrow, banking, mortgage, real estate, or a related field
- Experience opening escrows, ordering payoffs, assembling and shipping closing packages
- Familiarity with Texas title insurance practices and closing procedures preferred
- Strong attention to detail and accuracy
- Excellent communication skills — written, phone, and in-person
- Coachable, with the ability to take direction
- Ability to thrive in a fast-paced environment, both independently and as part of a team
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with title production software (e.g., Ram Quest, or Qualia) a plus
- Notary Public commission in Texas (or willingness to obtain one)
