Licensed Real Estate Brokers Assistant

We are seeking a proactive, highly organized, and detail-oriented licensed real estate professional to work directly with a high-producing commercial real estate broker who manages multiple investment funds and a diverse portfolio of commercial and residential properties.

This is a high-responsibility, hands-on position that combines commercial real estate brokerage, investment operations, transaction coordination, business development, and residential leasing support.

The primary focus of the role will be supporting the broker's commercial brokerage and investment activities
, with additional responsibility for leasing and leasing-related activities within a residential property portfolio.

The ideal candidate is organized, resourceful, trustworthy, commercially minded, and capable of taking ownership of responsibilities without constant supervision
. You do not need to be an expert in every area on day one. The ability to learn quickly, anticipate needs, solve problems, and follow through is more important than checking every box on the qualifications list.

• Create, enter, and maintain commercial property listings on CoStar, Loop Net, Crexi, MLS, and other listing platforms

• Coordinate property photography, signage, lockboxes, showing instructions, and property access.
• Assist with preparation of offering materials, marketing packages, email campaigns, and other property marketing initiatives.
• Maintain accurate property information, pricing, availability, and marketing materials.
• Coordinate property tours, inspections, appraisals, and other appointments.
• Assist with the broker's website, social media, and other marketing channels as needed.

• Help manage and maintain the broker's CRM and sales pipeline.
• Research property owners, investors, tenants, buyers, sellers, and other potential prospects.
• Assist with outbound prospecting, follow‑up calls, emails, and other business development activities.
• Follow up with leads, prospects, past clients, and referral sources as directed.
• Help identify potential acquisition, disposition, leasing, and investment opportunities.
• Maintain detailed records of prospecting activity, conversations, opportunities, and follow‑up requirements.
• Assist the broker with preparation for client meetings and business development activities.
• Help ensure leads and opportunities receive timely and consistent follow‑up.

In addition to commercial brokerage responsibilities, the assistant will support leasing activities for residential properties within the portfolio.

Responsibilities may include:

• Respond to prospective tenant inquiries and coordinate property showings.
• Market available residential properties and maintain accurate online listings.
• Communicate with prospective tenants and coordinate the leasing process.
• Prepare and coordinate residential lease documentation and renewals.
• Coordinate move‑ins, move‑outs, and other leasing‑related activities as needed.
• Communicate with tenants, property managers, and other service providers.
• Track vacancies, lease expirations, renewals, and other important dates.
• Maintain organized tenant and property records.
• Follow up on leasing leads and help minimize vacancy periods.

• Manage the broker's calendar, meetings, appointments, deadlines, and follow‑ups.
• Monitor incoming emails, calls, and inquiries and ensure appropriate follow‑up.
