Job Summary

The Home ownership Program Coordinator supports the recruitment, intake, eligibility screening, and engagement of prospective Habitat home buyers throughout the early stages of the Steps to Home ownership process. This role serves as a primary front‑door contact for applicants and plays a critical role in managing interest forms, conducting eligibility calls, coordinating education pathways, and maintaining accurate pipeline data in Salesforce and internal tracking systems.

The coordinator ensures applicants receive timely guidance, documentation support, and referrals to required readiness programs while maintaining strong communication across Client Services, Housing Counseling, and partner teams.

This is an on‑site position based at our Austin Habitat for Humanity corporate offices located at 500 W. Ben White Blvd., Austin, TX. Remote work is not available for this role.

Duties and Responsibilities

Lead Management and Outreach

  • Conduct follow‑up outreach to new leads and prospective applicants
  • Capture, respond to, and track incoming inquiries from prospective families
  • Manage Client Services inbox and general program phone line
  • Provide general program information via phone and email
  • Maintain applicant engagement through structured follow‑up communication

Education and Program Coordination

  • Schedule eligibility calls, orientations, counseling sessions, and workshops
  • Coordinate registration tracking for education participation
  • Set up monthly RTAD sessions and distribute class links
  • Refer applicants to readiness services including but not limited to:
    • Housing Counseling
    • Credit Coaching
    • RTAD
    • PFC
    • Other partner programs
  • Ensure applicants understand requirements and timelines throughout intake stages

Data Tracking and Systems Management

  • Maintain applicant pipeline data in all systems, including but not limited to Salesforce, EOS and Excel Tracker
  • Track registration vs. attendance metrics for program participation
  • Maintain accurate homeowner and applicant digital files
  • Support documentation tracking for eligibility readiness milestones
  • Monitor participation status and followup on missing documentation

Partner Homebuyer Support

  • Assist selected partner home buyers in maintaining program eligibility
  • Track sweat equity participation and distribute monthly reports
  • Communicate upcoming classes, volunteer opportunities, and requirements
  • Maintain consistent contact with families during early home ownership transition

Cross‑Functional Coordination

  • Serve as liaison between applicants, Client Services, Housing Counseling, and internal partners
  • Support preparation of program participation data for reporting and grants
  • Coordinate scheduling for meetings, classes, and counseling sessions
  • Assist with departmental administrative responsibilities as needed
Qualifications

Minimum Experience Requirements:

  • Bilingual in Spanish is required
  • Experience working with limited income and diverse populations
  • Ability to prioritize and multitask
  • Ability to work under pressure
  • Ability to adapt in an ever‑changing environment
  • Excellent interpersonal and customer service skills
  • Basic understanding of administrative and clerical procedures and systems
  • Must be able to work with ambiguity and make decisions in a complex, collaborative, fast‑paced environment while demonstrating our Core Values
  • Proficient with Microsoft Office (Word, Excel, PowerPoint) or other related software
  • At least 3 years of professional environmental experience
  • Attention to detail and ability to prioritize tasks appropriately
  • Experience in related field which focuses on interaction, communication and support of vulnerable populations
  • Strong customer service background in any field which demonstrates applicants’ ability to work with the public and vulnerable populations

Preferred Experience Requirements:

  • Experience supporting housing programs, counseling, or community services
  • Familiarity with eligibility screening workflows
  • Experience coordinating workshops or education pathways
  • Experience tracking participation metrics or pipeline reporting
Compensation

Hourly: $21.00 - $24.00
