Job Summary

The Facilities Support Specialist provides comprehensive administrative, operational, and compliance support to the Facilities/Maintenance Department. The role coordinates inspections, safety documentation, purchasing processes, and communication across all district buildings while also supporting custodial recruitment and temporary staffing needs.

Key Responsibilities
  • Serve as the primary point of contact for the Facilities Office including phones, visitors, and general inquiries.
  • Maintain records, calendars, meeting schedules and departmental communication.
  • Prepare agendas, notes, and materials for department meetings.
  • Provide administrative support to the Administration Building receptionist as needed.
  • Coordinate, schedule, track and document district‑required inspections (including facility equipment, lifts, rigging, bleachers, basketball goals, elevators, gas pressure/leaks, playgrounds, ladders and other regulated equipment).
  • Maintain accurate inspection records, compliance documentation and safety files within SharePoint.
  • Receive inspection reports, initiate repair coordination and ensure completion of corrective actions.
  • Maintain district Fire Safety Books and fire inspection documentation.
  • Coordinate custodial temporary staffing needs with external vendors; create weekly assignment schedules and maintain substitute hour logs.
  • Assist Head Custodians and Maintenance staff with documentation, requests and communication.
  • Track and coordinate equipment and facility repair needs, including quotes and scheduling.
  • Prepare requisitions, purchase orders (including blanket POs) and vendor quotes.
  • Maintain receipts, invoices and purchasing documentation.
  • Track and maintain key/core requests, ordering, distribution and documentation.
  • Work closely with human resources to complete employment workflow processes; support custodial hiring, screenings and reference checks.
  • Coordinate onboarding/offboarding tasks including key/radio assignments, drug screens, welcome communication, phone/extension setup and form management.
  • Maintain up‑to‑date onboarding/offboarding records in SharePoint.
  • Support special projects and events, including the annual Staff Appreciation Luncheon.
  • Serve as first point of contact for power outages and utility disruptions, ensuring timely communication with staff, vendors and supervisors.
  • Project genuine care and concern for all students.
  • Comply with all Avon Community School Corporation policies, guidelines, procedures and protocols.
  • Participate in professional development, as assigned.
  • Other duties as assigned by the supervisor.
Qualifications
  • High school education or GED required.
  • No certification required.
  • Minimum 2 years of clerical or administrative experience (maintenance/warehouse experience preferred).
  • Proficiency in Microsoft Office; strong organization, communication and multitasking skills.
  • Ability to maintain a positive relationship with pupils, staff, parents and the community.
Compensation and Benefits

Hourly pay starting at $22.25. Eligible for medical, dental, vision, life insurance, disability and supplemental benefits. Eligible for PERF retirement.

Paid time off and holiday pay available.

Schedule

Monday – Friday, 7:00 am – 3:30 pm. 260/261 days (Year‑round).

Physical Demands

The employee regularly sits, stands, uses hands to handle objects and must walk, reach, climb, balance and stoop; may lift up to 50 pounds. Visual requirements include close and distance vision, color vision, peripheral vision, depth perception and focus.
