Position: Administrative Assistant (Community Engagement)

The City of Avondale is accepting applications for Administrative Assistant (Community Engagement) in the Neighborhood & Family Services Department. This posting will close once we receive 150 applications or by 03/04/2026 at 11:59 PM, whichever comes first.

Responsibilities
  • Managing front desk and lobby operations, assisting with programs, services and activities, supporting community outreach and special events, and coordinating room reservations for the resource center.
  • Perform administrative duties, including clerical support, data entry, conducting special project research, preparing reports, assisting division leadership with budget-related activities, and processing administrative documents.
  • Support marketing and outreach efforts for department events and community programs to improve community engagement and promote human services. Assist in increasing awareness of departmental initiatives through social media, websites, community outreach and special events.
  • Assist the Arizona Complete Health Avondale Resource Center by staffing front desk operations, welcoming visitors, answering telephones, conducting intake and needs assessments, providing resource referrals to clients, supporting the Community Action Program, assisting with food distribution programs, helping with participant transportation, and supporting activities, services, and program initiatives for the Neighborhood and Family Services Department.
  • Assist with the planning, coordination, and implementation of special events. Represent the department and the City during outreach activities.
  • Assist with the coordination of activities and uses related to the resource center facility, including internal and external operations for facility rental.
  • Ability to utilize and work across divisions simultaneously throughout the workday; adapt and adjust to a rapidly changing and dynamic environment.
  • Comfortable and able to communicate kindly and professionally with the public over the phone, in person, and via email.
  • Skilled in providing attention to detail, organized and managing competing priorities.
  • Perform other duties as assigned.
Qualifications
  • High School Diploma, or G.E.D. equivalent, required. A bachelor’s degree in Human Services, Social Work, Public Administration, Recreation, or a closely related field is preferred. Any equivalent combination of experience, education, and technical training that provides the required knowledge, skills and abilities may qualify.
  • One year of responsible office administration, specialized administrative or office support experience required. Parks and Recreation and customer service–oriented experience shall also be considered. Two (2) years of experience gained from working with programs specifically related to human services, community education, outreach and event planning is preferred.
  • Valid Arizona Operator’s Driver’s License.
  • Ability to pass a background check.
  • Must obtain a Level 1 Fingerprint Clearance Card within 30 days of hire.
  • Obtain First Aid/CPR certification and Maricopa Food Handler’s Certification within 60 days of hire.
  • Must pass a pre-employment physical examination and periodic physical examinations throughout the course of employment in order to transport senior participants.
  • This position requires successful completion of the Arizona Centralized Background Check at the time of hire and annually thereafter.
  • Preferred:
    Proficiency in spoken and written Spanish.
  • Work requires the ability to read and understand general correspondence, reports, manuals, applications, legal documents, and related paperwork.
  • Work requires the ability to perform general math calculations such as addition, subtraction, multiplication, and division.
  • Work requires the ability to write reports, letters, emails, and general correspondence and communicate clearly in writing.
  • Planning responsibilities include organizing and executing deadline requirements.
  • No direct supervisory responsibilities. Work requires the occasional direction of helpers, assistants, seasonal employees, interns, volunteers, or temporary employees.
  • Professional judgment is required to apply the proper course of action. Work requires analysis and judgment in accomplishing diversified duties. Work requires the exercise of independent thinking within the limits of policies, standards, and precedents.
  • The individual in this position will work with staff both within and outside the City. An important skill is an ability to maintain positive relationships and open communication lines with City employees, Arizona Complete Health employees, community members, and human service/housing service provider agencies. Employees must maintain regular attendance. Ability to work in a constant state of alertness and safe manner.
