Main Responsibility
- Coordinate the activities, meetings, and annual work plans of all GDA Technical Committees, ensuring effective planning, execution, and follow-up of committee actions.
- Provide administrative and technical coordination support to the Technical Manager and Technical Committees.
- Prepare meeting agendas, minutes of meetings, action trackers, and committee documentation, ensuring timely distribution and follow-up of action items.
- Maintain Technical Committee calendars and coordinate committee meetings, workshops, webinars, forums, and other technical events.
- Coordinate communication between Technical Committees, Committee Chairs, Subject Matter Experts (SMEs), Single Points of Contact (SPOCs), GDA members, and external stakeholders.
- Support the establishment, development, and continuous improvement of Technical Committees and their annual objectives.
- Support Technical Committees in developing technical papers, industry guidance documents, presentations, webinars, surveys, best practice documents, and other committee deliverables.
- Maintain an up-to-date register of Technical Committee members, SMEs, and SPOCs, ensuring accurate records and effective communication.
- Coordinate the administration and ongoing updates of the GDA Knowledge Hub, ensuring technical publications, committee outputs, webinar recordings, presentations, standards, best practices, and other approved technical resources are uploaded, organized, maintained, and made accessible for members.
- Create, update, suspend, and remove user accounts for GDA members, SMEs, and SPOCs within the GDA Knowledge Hub and associated digital platforms, ensuring access permissions remain aligned with approved membership status and committee participation.
- Coordinate with members to create, update, and manage GDA Knowledge Hub user accounts for newly admitted members, nominated Subject Matter Experts (SMEs), and designated Single Points of Contact (SPOCs), ensuring access rights are aligned with their membership status and assigned roles.
- Coordinate with the Marketing Department to support the publication and promotion of Technical Committee activities, technical webinars, technical publications, knowledge resources, and other technical initiatives.
- Monitor Technical Committee activities, deliverables, and Knowledge Hub utilization, preparing periodic reports and recommendations for Management.
- Represent the Technical Manager in committee meetings and technical communications when delegated.
- Attend relevant conferences, forums, and industry events to support committee objectives, identify emerging industry trends, and recommend opportunities for continuous improvement.
- Ensure compliance with GDA governance requirements, confidentiality policies, document control procedures, and quality standards across all Technical Committee and Knowledge Hub activities.
- Maintain and manage a centralized digital repository (e.g., SharePoint) for Technical Committee documentation, reports, correspondence, and governance records, ensuring document accuracy, accessibility, and version control.
- Bachelor's degree in Engineering, or another related discipline.
- Minimum 5 years of experience in technical coordination, committee administration, knowledge management, project coordination, or a related role, preferably within the energy, oil & gas, or association sectors.
- Strong organizational and project coordination skills with the ability to manage multiple committees, initiatives, and priorities simultaneously.
- Excellent communication, stakeholder engagement, and interpersonal skills.
- Strong report writing, documentation, and presentation skills.
- Experience in knowledge management systems, digital collaboration platforms, and document control practices is an advantage.
- Proficiency in Microsoft Office Suite, SharePoint, and other document management and collaboration platforms.
- Ability to work independently while maintaining effective collaboration across multidisciplinary teams.
- Professional certifications in Project Management, Committee Governance, Business Administration, or Knowledge Management (e.g., PMP, CAPM, or equivalent) are desirable.
- Additional training in stakeholder engagement, technical administration, or document management is an advantage.
