Position: Project Management Officer (PMO)

Project Management Officer (PMO) | Infrastructure Programme

We are looking for an experienced Project Management Officer (PMO) to support a large-scale, multi-site infrastructure programme within a highly regulated environment. This role is ideal for a structured and proactive PMO professional who thrives in project planning, reporting, coordination, and governance activities.

As part of a major infrastructure transformation initiative, you will work closely with project leadership and workstream leads to ensure transparent, efficient, and well-governed project execution.

Key Responsibilities Project Planning & Coordination
  • Support the creation and maintenance of Work Breakdown Structures (WBS).
  • Assist with project scheduling and timeline management.
  • Maintain project plans, milestone tracking, and resource overviews.
  • Coordinate activities across multiple project work streams and stakeholders.
Reporting & Project Governance
  • Prepare and consolidate project status reports, milestone reports, and progress updates.
  • Develop and maintain project KPIs, dashboards, and management reporting.
  • Support the preparation of steering committee and management decision materials.
  • Ensure accurate and timely project transparency for leadership teams.
Project Administration & Documentation
  • Organize and coordinate project meetings and workshops.
  • Prepare agendas, capture meeting minutes, and follow up on actions.
  • Maintain action logs, risk trackers, and project documentation.
  • Ensure structured document management, version control, and audit readiness.
Stakeholder Management
  • Act as a central coordination point between project teams, business stakeholders, and support functions.
  • Proactively collect updates and required information from workstream leads and subject matter experts.
  • Ensure consistency and quality across project deliverables, reports, and presentations.
  • Apply established project management methodologies, templates, and governance processes.
  • Contribute to the improvement and standardization of PMO reporting structures and best practices.
  • Promote high-quality, timely delivery of project information and documentation.
Required Experience & Qualifications
  • Completed commercial, technical, business, or IT-related education.
  • Several years of experience in a PMO, Project Coordinator, Project Administrator, or Project Support role.
  • Experience supporting large-scale or complex projects within infrastructure, engineering, energy, utilities, manufacturing, or other regulated environments.
  • Strong knowledge of:
    Work Breakdown Structures (WBS);
    Project scheduling and planning;
    Resource planning;
    Project reporting and KPI tracking
  • Advanced Microsoft Office skills, particularly Excel, PowerPoint, and Word.
  • Experience creating management presentations, project reports, and meeting documentation.
  • PM certification or training (IPMA, PMI, HERMES, PRINCE2, or equivalent) is advantageous.
  • Highly organized and detail-oriented.
  • Strong analytical and reporting capabilities.
  • Excellent communication and stakeholder coordination skills.
  • Ability to manage multiple priorities in a fast-paced project environment.
  • Service-oriented mindset with a proactive approach to gathering information.
  • Strong awareness of quality, confidentiality, and compliance requirements.
  • Team player with a professional and collaborative working style.
Language Requirements

Fluent German (written and spoken) is mandatory
