Schedule: Part-time (Afternoon Hours)
Aubin Aphasia Speech and Language Center is a collaborative outpatient speech-language pathology practice dedicated to helping children and adults achieve meaningful communication. Position SummaryWe are seeking a friendly, organized, and proactive Patient Care Coordinator to serve as the welcoming face of our clinic during afternoon hours. This position plays a vital role in creating a positive experience for patients and families while helping maintain full therapist and tutoring schedules through excellent communication and relationship-building.
The ideal candidate enjoys talking with people, is comfortable making outbound phone calls, and thrives in a fast-paced environment where customer service and organization are equally important.
ResponsibilitiesFront Office
- Welcome patients, tutoring families, and visitors with a warm and professional demeanor.
- Check patients in and out.
- Answer phones and respond to general inquiries.
- Maintain a clean, organized, and welcoming reception area.
- Assist with scheduling and appointment changes.
- Support clinicians with administrative tasks as needed.
- Make outbound calls to tutoring families to check in on their experience.
- Build relationships with families and answer general questions.
- Identify scheduling opportunities and help fill available tutoring appointments.
- Follow up with families who have missed appointments or paused services.
- Maintain accurate communication notes within the scheduling system.
- Help maximize clinician schedules through proactive outreach.
- Assist with data entry and maintaining patient records.
- Coordinate paperwork and intake documents.
- Support special projects and community events as assigned.
- Help ensure smooth daily clinic operations.
- Excellent verbal and written communication skills.
- Friendly, professional, and compassionate personality.
- Comfortable making frequent outbound phone calls.
- Strong organizational and multitasking abilities.
- Detail-oriented with excellent follow-through.
- Experience in customer service, healthcare, education, or office administration preferred.
- Ability to work independently while supporting a collaborative team.
