Position Summary
This is a part‑time (approximately 16 hours per week) Office Specialist 1 position supporting the Oregon State University Division of Extension and Engagement in the Baker County Office (Baker City, Oregon). The incumbent provides general office and program support, including front‑desk duties, data entry, scheduling, communication, and vehicle coordination.

- Answer multiple phone lines, screen and direct incoming calls; respond to emails and in‑person requests; and return voicemails promptly.
- Greet visitors and provide instructions and directions.
- Provide excellent and empathetic customer service with culturally appropriate, inclusive communication.
- Inform the public about specific information and services.
- Provide information, educational resources and general assistance to clientele when requested.
- 45% – General Office Support
- Handle publication sales and related receipts.
- Process registration funds and other fees.
- Pick up, open, distribute incoming mail and prepare mailings.
- Meter and deliver all outgoing mail to USPS or other sites; deliver specimens to specialists as requested.
- Update and maintain Extension databases.
- Order office supplies, equipment and cleaning supplies.
- Perform basic office equipment maintenance and coordinate maintenance of equipment, facilities and vehicles.
- Organize and maintain publication files.
- Assist with general/clerical projects and scheduling of faculty events.
- Create, proofread and format letters, forms, memos and public‑facing documents following OSU branding guidelines.
- Open and close office daily per office hours.
- Drive/travel for office‑related errands and professional development.
- 10% – Other Duties
- Collaborate with the Administrative Office Manager to meet office operational needs.
- Provide information to clients about OSU Extension classes, programs and resources, communicating inclusively.
- Help maintain office work areas and assist in periodic clean‑up of counters, workstations and conference rooms.
- Attend training opportunities to build knowledge and skills in digital communications, marketing and engagement technologies.
- Complete the division’s civil rights training session(s).
- Perform other duties as assigned.
- Completion of courses or training in Office Technology; or ≥1 year of general clerical experience including typing, word processing, or document generation; or an equivalent combination of training and experience.
- Work experience in an office environment with computer use.

- General computer proficiency, including information technology, professional office software and collaborative platforms.
- Ability to engage and communicate successfully and inclusively, both in writing and verbally, with broad and diverse audiences.

- Success in a criminal history check; successful completion of motor vehicle history check; possession of a current, valid driver’s license.

- Adaptability to multiple digital communication systems (websites, email newsletters, social media).
- Ability to manage multiple projects while meeting deadlines.
- Work primarily in an office setting; extensive computer use.
- Typical hours Monday‑Friday 8:00 a.m. – 5:00 p.m.; primary office coverage responsibility.
- Ability to lift, carry, push and pull educational materials and/or equipment up to 30 pounds.
- Access to a vehicle required; business mileage reimbursed per OSU policies.
