Position: Office Specialist 1: General & Fairgrounds Support

Job Summary

This part‑time Office Specialist (OS1) position (approximately 16 hours per week) supports the Oregon State University Division of Extension and Engagement’s Extension Baker County Office in Baker City, Oregon. The OS1 provides general office support, program support for the Baker County Fairgrounds Complex, and other duties as assigned.

Key Responsibilities 45% General office support
  • Type and format documents such as letters, reports, memos, news releases and newsletters.
  • Input and maintain data for mailing lists in database programs.
  • Order office supplies, photocopy documents, organize and maintain filing systems.
  • Update and maintain website content, ensuring it is inclusive, accessible, and contains accommodation information.
  • Handle sale of publications and registration fund processing.
  • Receive, route, and respond to mail, phone and e‑mail inquiries from the public; deliver outgoing mail to USPS or other sites. Driving/travel will be required.
  • Greet the public and answer phones, providing a welcoming and inclusive customer experience and directing them to appropriate Extension employees when needed.
  • Provide information about services and publications available through the OSU Extension Baker County office.
  • Design, prepare and proof newsletters, flyers, meeting announcements and brochures following OSU branding guidelines.
45% Fairgrounds complex support
  • Prepare advertisement documents, using standardized formats, for review and approval by the Administrative Office Manager.
  • Maintain and update content on the Fairgrounds website and official social media platforms.
  • Send pre‑approved information to local media outlets regarding Fairgrounds activities, projects and the annual Baker County Fair.
  • Provide general clerical support for inquiries about Fairgrounds use and events.
  • Attend Fair Board meetings to take minutes and distribute them; maintain a file of minutes and related records.
  • Prepare and deliver weekly invoices to the Courthouse; assist with basic recordkeeping and document processing. Driving/travel required.
  • Accept Fairgrounds facilities rental requests, review for accuracy, and maintain related records.
  • Track rental activity, maintain related files, and input data into applicable systems.
  • Provide general clerical support for planning and preparing the Baker County Fair and other Fairgrounds events.
10% Other
  • Perform other duties as assigned.
  • Provide welcoming and inclusive customer service.
  • Complete the division’s civil rights training session(s).
  • Attend training opportunities to build basic knowledge and consistent skills in digital communications, marketing and engagement technologies relevant to the position duties.
Qualifications What We Require
  • Completion of courses or training in Office Technology; OR one year of general clerical experience that included typing, word processing or other generation of documents; OR an equivalent combination of training and experience.

Working Conditions / Work Schedule
  • Work primarily in an office setting; extensive computer use.
  • Typical work hours are Monday‑Friday between 8:00 a.m. to 5:00 p.m.
