Position Highlights
The Baker County Circuit Court in Baker City, Oregon, is hiring a Records Clerk (Court Operations Associate). In this role you will greet visitors, provide customer service at the counter, over the phone, and in writing, route phone calls, answer questions, and provide information about the court calendar and the status of cases. You will also explain court policies and procedures to the public, litigants, and attorneys.
Responsibilities- Perform data entry for civil, criminal, domestic relations, and probate cases.
- Prepare certified copies, scan documents, upload files into the case management system, and review documents for accuracy and completeness.
- Process court records requests and research archived records.
- Process payments for filings, fees, fines, and bail, including personal checks, money orders, and electronic payments.
- Open, manage, and balance an electronic payment till each day.
- Help attorneys and self‑represented litigants file exhibits in PDF, audio, video, and physical formats for in‑person and remote appearances.
- Process mail and provide backup coverage in the courtroom as needed.
- Perform additional tasks as assigned to accommodate workload and organizational needs.
- 95% to 99% coverage of medical insurance premiums for full‑time employees, including mental health coverage.
- 10 paid holidays, 2 floating holidays, 3 personal business days, separate sick and vacation paid leaves (prorated for part‑time employees), and other employee benefits such as optional insurances and flexible spending plans.
- 5% allowance for bilingual skills (includes ASL) if you can pass a skills test and are assigned to use those skills on the job.
- Potential eligibility for a 5% annual salary increase.
- High school diploma or equivalent.
- At least three (3) years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
- Or any combination of education and experience equivalent to three (3) years of experience that supports the knowledge, skills, and abilities for the position.
- Experience prioritizing and performing a variety of clerical or administrative support tasks with strict deadlines in a busy business or professional setting.
- Proficiency using a computer to enter and retrieve data, schedule events in electronic calendars, and perform research and analysis.
- Experience providing customer service to a variety of individuals on the phone and in‑person from diverse backgrounds and varying degrees of behavior.
- Skill in reviewing documents for accuracy and completeness.
- Experience handling cash or credit card transactions and generating receipts.
- Experience adapting to changing work expectations, processes, and technology.
This is a full‑time position. The work schedule is currently 8:00 a.m. to 5:00 p.m., Monday through Friday. Overtime compensation is available for hours worked over 40 per week. Occasional after‑hours or overtime work may be required. Some travel is required, primarily during the business day; occasional out‑of‑area overnight travel may be expected. The job involves frequent phone and in‑person contact with people from diverse backgrounds, including those facing challenging life circumstances or trauma.
It requires long periods of sitting or standing, kneeling, bending, pushing, pulling, and moving materials up to 10 pounds, occasionally up to 30 pounds. Employees will regularly use equipment such as a telephone, computer with multiple monitors, microfilm/reels, copy machine, fax machine, and scanner.
