Responsibilities
  • Provide a variety of complex and confidential clerical and secretarial services to college administrators, faculty and staff; provide information to faculty, staff, students and the public; provide complex staff assistance to departments.
  • Perform general secretarial and clerical work; schedule appointments; process personnel information; monitor, order, distribute and maintain office supplies; order textbooks; maintain and troubleshoot equipment; receive and sort mail.
  • Type and proofread reports, letters, projects and proposals; compose correspondence related to assigned responsibilities; assist in preparing and typing course outlines and catalog information including class and final examination schedule information.
  • Participate in planning, development and implementation of events related to area of responsibility, including fund raising and special events.
  • Assign work activities to clerical and student staff; monitor workflow; review and evaluate work; participate in staff training and selection of clerical staff.
  • Coordinate student assistance including scheduling classes; arrange accommodations such as testing or audiovisual equipment; inform students of class cancellations; transfer students.
  • Prepare various reports and requests (travel, faculty requests, payroll); report teacher absences; verify student assistants' time cards; process applications and forms.
  • Organize and maintain filing systems and records related to the area of assignment (staff files, budget information, student progress, general student files).
  • Manage supplies and deliveries; verify incoming shipments; manage purchase orders and inventory; resolve supply issues and return mis-shipped goods.
  • Assist in reviewing outgoing correspondence and reports for accuracy and compliance; participate in developing program newsletters.
  • Maintain calendars and coordinate activities with other departments, Board and committee members, the public and outside agencies.
  • Review materials for completeness and conformance with regulations; provide information and forms to the public; collect and process information.
  • Serve as receptionist; answer inquiries regarding policies, procedures, classes, instructors and schedules.
  • Participate in budget preparation and administration; prepare cost estimates and requisitions; monitor expenditures for specially funded projects.
  • Exercise functional and technical supervision over clerical and secretarial staff and student assistants; duties may vary by extension site.
Minimum Qualifications

Any combination equivalent to: graduation from high school and three years of responsible clerical experience.

Knowledge & Abilities
  • Knowledge of: Modern office procedures, methods and computer equipment; word processing; correct English usage, spelling, grammar and punctuation; budget administration; basic arithmetic.
  • Ability to: Learn and apply District policies and procedures; learn class scheduling and academic requirements; perform general secretarial and clerical work; work courteously with students and the public; train staff; participate in budget administration; operate office machines and software; follow directions; perform simple math; communicate effectively; establish cooperative working relationships.
