Pay Range: $18.00 - $18.50 per hour for employees hired in the Central Valley, CA. Actual starting salary may vary based on education, experience, skills, and market data.
Your ImpactAdministrative Assistant II provides general program administrative support. Major responsibilities include front office support, maintenance of multiple databases, adherence to program/clients file record requirements, maintaining and reconciling program fund requests, and oversight of routine office operations.
Key Responsibilities Office & Front Desk Support- Provide reception and operate a multi-line phone system
- Handle incoming/outgoing mail
- Maintain and restock office supplies
- Schedule and manage meeting rooms and shared spaces
- Manage and reconcile petty cash
- Process fund requests, reimbursements, and vendor invoices
- Maintain donation records
- Generate accurate database reports
- Prepare meeting minutes, correspondence, and written summaries
- Support onboarding, offboarding, and ongoing HR processes
- Complete annual archiving, file audits, scanning, copying, and data entry
- Maintain program/client files in compliance with agency standards
- Complete administrative support tasks such as data entry, file management, scanning, copying, and preparing intake packets
- Serve as local tech support for office equipment
- Maintain multiple databases and ensure data accuracy
- Prepare materials for monthly safety meetings
- Follow confidentiality laws (HIPAA, etc.) and uphold company values
- Communicate clearly and follow instructions
- Demonstrate cultural sensitivity and maintain healthy boundaries
- Represent company with professionalism and integrity
- Perform additional duties as assigned
- 2+ years of clerical or business office experience
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Comfortable in a Windows-based environment
- Strong organizational and multitasking skills
- Ability to operate standard office equipment (copier/printer/scanner/fax, postage meter)
- Must meet state employment requirements: DOJ fingerprint & Child Abuse Index clearance, TB/Health physical, valid CA driver’s license & clean driving record (if driving required)
- Bilingual certification required (Spanish)
- This position is based out of Bakersfield, CA
- Schedule:
Full-time, Monday through Friday
