Administrative Secretary

Qualifications:

1. Knowledge of office practices and procedures; should have experience, preferably in-district
2. Proficiency as typist; ability to make accurate arithmetical computations
3. Knowledge and ability to learn and use computer terminal and word processing equipment and systems effectively
4. Knowledge and ability to create, navigate, and maintain department/district website and social media information for business purposes
5. Ability to multi-task, problem solve, and make sound independent decisions
6. Ability to plan, organize, coordinate, and schedule administrative and clerical functions and activities
7. Ability to effectively and efficiently perform highly responsible secretarial functions
8. Ability to use independent judgment and work harmoniously with others; ability to supervise work of others
9. Bilingual ability may be required, depending on assignment
10. Must pass required tests

Administrator as assigned
Job Goal:
To provide professional services which will contribute to effectiveness of department and services it renders
Performance Responsibilities:
1. Performs secretarial duties of responsible nature; may take and transcribe dictation of various types; composes correspondence from brief notes and oral instructions; operates office machines, computer terminal and word processing equipment; types letters, requisitions, surveys, resolutions, board materials and various legal documents
2. Organizes and coordinates clerical staff activities in department, including but not limited to organization, layout, and development of work assignments
3. Responds to inquiries which involve the interpretation of policies, regulations, and operational procedures
4. Answers inquiries involving use of initiative and independent judgment within limits of established policies and procedures
5. Obtains, gathers and organizes pertinent data as needed and puts into usable form
6. Maintains regular filing system, including locked confidential files, and processes incoming correspondence as instructed
7. Places and receives telephone calls and records messages; maintains schedule of appointments and makes arrangements for conferences and interviews; assists at counter
8. Plans, organizes, and coordinates department and district meetings, in services, and events for staff and community
9. Assists in development and dissemination of information to District constituencies through variety of communication strategies, including but not limited to newsletters, brochures, memoranda, website, social media and other methods as assigned
10. Assists with promoting District programs and events via social media channels
11. Performs any bookkeeping tasks associated with position
12. Models personal and professional values of equity, integrity, caring, collaboration, personal and collective accountability
13. Performs other related duties as assigned
Salary: $21.97 - $35.74 per hour
Evaluation:
Performance of this job will be evaluated in accordance with the District's "Improvement of Professional Services" handbook, Board Policies and Procedures and consistent with collective bargaining agreements when applicable.
New Probationary Employees and Permanent Employees Who Become Probationary Upon Reclassification: A new employee, or a permanent employee who is changed to a new classification, shall serve a probationary period, which shall not exceed six (6) months of duty time exclusive of leaves of absence or other absences. During this probationary period the employee must meet the required standards of performance to be recommended for permanent status in the classification.

A probationary classified service employee may be terminated from the probationary classification at any time without cause, without right of appeal or hearing before the Board of Education. Pursuant to Education Code section 45113, a permanent employee who accepts a promotion and fails to complete the probationary period for that promotional position, shall be employed in the classification from which he or she was promoted.
Required Test:
