Position: Administrative Assistant to the Superintendent and Board of Trustees- Open to Kern High School District Regular

Administrative Secretary

This position requires knowledge of proper English usage, grammar, punctuation, vocabulary, and spelling; proper office methods and practices, including record keeping, secretarial techniques, basic stenographic practices, and letter and report writing; KHSD's general operations, policies, regulations, and procedures; basic financial accounting and bookkeeping methods, practices, and requirements; procedures, activities, and operations related to Superintendent's Office and Board of Trustees; basic principles and practices of supervision;

computer software programs, e-mail and calendar functions. Must possess the skill to accurately type/word process at the rate of 60 net wpm; understand and carry out both oral and written instructions in an independent and tactful manner; understand and apply District policies and procedures without immediate supervision; perform a variety of complex secretarial/administrative support work with speed and accuracy; plan, supervise, and evaluate the work of others;

establish and maintain a variety of record keeping and filing systems and compile necessary data for report generation; accurately perform mathematical calculations using addition, subtraction, multiplication, and division; apply good judgment in recognizing scope of authority; take and transcribe notes and/or dictation with speed and accuracy; operate standard office equipment/machines such as copier, typewriter, calculator, computer terminal, assigned software and transcription equipment;

establish and maintain effective work relationships with those contacted in the performance of required duties.

Must possess the ability to supervise, monitor, and participate in a variety of administrative details and secretarial support functions not requiring the immediate attention of the Superintendent; perform a variety of complex and responsible secretarial duties to ensure the successful coordination, processing, and completion of routine administrative operations for the District Superintendent and Board of Trustees; prepare and/or coordinate the preparation and distribution of public agendas for the Board of Trustees meetings;

organize and oversee the set up of the Board Room and other meeting accommodations; attend and serve as recorder at Board of Trustees meetings; take notes and prepare the official minutes for appropriate review and distribution; obtain Board member signatures on documents as needed; assign and monitor work, and evaluate quality and production; receive and transcribe highly confidential communications and reports;

compose routine correspondence independently from own knowledge of matters involved; participate in the timely and efficient maintenance of the District's Administrative Code, its updates, revisions, and additions; attend a variety of District and community administrative meetings; schedule times, people, and facilities; actively participate as a facilitator or member as assigned; direct in-service training and informational meetings with school and administrative secretaries relative to promoting an understanding of the District's aims, objectives, programs and professional improvement aspects of employee assignments;

plan, organize and implement events sponsored by the Superintendent's Office (i.e. Principal Partners Day, Retirement recognitions, Superintendent's First In Class Awards); interpret and communicate policies, procedures, laws, and rules governing California school districts; arrange and schedule appointments, meetings, and travel arrangements for the Superintendent and members of the Board of Trustees; maintain detailed calendar for the Superintendent and members of the Board of Trustees;

arrange interviews, appointments, and schedule as required; act as liaison and major resource person between Superintendent's Office and District administrators, school sites, parents, and the community; coordinate, direct, and monitor special projects, assignments, and activities as assigned; receive, open, time stamp, and screen Superintendent's and Board of Trustees' mail; follow up on those items requiring the Superintendent's action; compile…
