SUMMARYThe Program Administrator will support all aspects of the Immigration Services Program and projects including planning, organizing, staffing, leading, and executing program activities. Secondary duties will include various special projects related to the events and activities in which the organization is involved.
ESSENTIAL FUNCTIONS- Program Administration
- Manages the planning and coordination of grant programs.
- Ensures implementation of policies and practices of programs.
- Manages the data collection from staff and partners and prepares data for program grant reports.
- Coordinates internally with staff to assemble program and financial data for applications and reports.
- Maintains accurate program records.
- Manages data entered in Quickbase and Egnyte systems and coordinates quality control of data.
- Communicates directly with staff and subgrantees who utilize the systems to ensure that they enter accurate and timely data.
- Conducts office site and subgrantee audits.
- Represents the organization at partner meetings, conferences, and other collaborations, particularly when related to health/public benefits issues.
- Supports program development and growth.
- Provides support with constituent calls, screenings and services, when needed.
- Coordinate grant deliverables and produce reports for funders.
- Coordinate the collection of information and the process for approving and producing internal financial reports.
- Maintain and support the team in producing annual budgets, operational plans, and Management by Objectives and Results (MOR) Reports.
- Staff Coordination
- Support recruitment and retention efforts;
- Develop and conduct orientations and ongoing trainings for the staff members that provide services.
- Perform other related duties as assigned.
- May involve the coordination and supervision of volunteers/interns as needed.
- Excellent oral and written communication skills in both Spanish and English
- Speed, Precision, and Accuracy: Ability to work in a fast-paced, constantly changing environment with speed, precision and accuracy.

- Previous experience working with immigrants and/or the Latino community.
- Ethical conduct.
- BA/BS degree in Social Sciences, Business, Organizational Management, a related field or equivalent experience.
- 2 to 3 years of experience supporting nonprofit programs and/or the implementation of grants.
- Prior experience working in non-profit organization management, contract administration, budgeting, and fundraising.
- Comprehensive knowledge of standard office practices, procedures, equipment, and techniques; excellent organizational, managerial, and communication skills.
- Ability to plan and achieve annual goals and objectives. Experience with and knowledge of computer operation; knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.), and database applications.
The annual hourly pay range for this position is $21.90 to $26.00, and benefits include:
- Accruals of 2, 3, and 4 vacation weeks per year depending on tenure
