Summary/Objectives of Position

Under the supervision of the Grants Program Analyst and guidance of the Grants Program Director (GPD), the Analyst Coordinator (AC) is responsible for supporting newly identified and secured grant and contract funding sources. In addition, the AC evaluates and monitors achievement of grant objectives and goal outcomes as well as contract Memorandum of Understanding and Business Associate Agreements (MOU/BAA). The AC will also be responsible for reinforcing relationships with internal staff, ensuring that grants programs operate efficiently, streamline grant compliance and policy, support the oversight of grant solutions and reporting requirements;

ensure grant compliance, and keep Bakersfield American Indian Health Project (BAIHP) fiscally sound by providing oversight on grant billing, reimbursement, and data reporting. The AC utilizes peer-reviewed methods to guide grant writing; explores all governmental, private, and non-profit funding sources and prepare, monitor, and report findings to stakeholders under the guidance and supervision of the GPA.

The AC serves as a grant program evaluator, who is responsible for the design, implementation, and oversight of grant-required evaluation activities. Develops and administers surveys, assessments, and focus group protocols; collects, analyzes, and interprets qualitative and quantitative data to measure program outcomes and ensure compliance. Understanding in selecting methods and research techniques for obtaining solutions and resolutions toward data integrity. The individual may also provide support for the development of specialized grant proposals including project conceptualization, study design, team building, proposal organization and planning, writing, workflows and mind mapping, copy-editing, budget preparation and recommendation, and proposal submission using all available grant systems and partner-portal provided access points.

Through understanding of research administration guidelines of federal and non-federal sponsors supporting research and educational activities, the AC will read and evaluate every grant/contract Request for Proposal or Request for Funding Announcement and work in multi-disciplinary teams to effect work product. The AC is supporting every aspect of funding including but not limited, to fiscal compliance billing and invoicing, funding and report timelines, system management and integration, budget review and drawdown, technical assistance, attending meetings, participating in contractual obligations which require a presence of staff, team, or executive leadership.

Duties, Functions & Responsibilities
  • Manages and coordinates the grant requirement and implementation for BAIHP.
  • Identify and coordinates strategies to optimize the grants administration process.
  • Manage yearly calendar of all grant activities to ensure timely applications, required reports, and all other submissions are done in a timely manner.
  • Research and advice on funding and strategic opportunities, complexities, challenges, opportunities.
  • Manages all phases of grant research, data collection, budget preparation, and submission.
  • Prepares grant narratives in collaboration with grant coordinators or grant managers, tracks budgets and reports; assists in the preparation of budgets and reports for the organization and participates in fiscal oversight.
  • Prepares multi-faceted health care business projects and presentations, conducts research, analyzes data, and works with all levels of government on a variety of programs and projects and attends grant meetings.
  • Studies management methods to improve workflow, simplify reporting procedures, and implement cost reductions.
  • Studies methods of improving work measurements or performance standards as it relates to grants and contracts.
  • Understanding the registration and charge capture process to ensure proper claims submission and reduction of coding denials.
  • Assist with training for EHR software.
