Client Service Coordinator – Overview
Drive the flow of clients and pets through the hospital, maximize the productivity of the veterinary medical team, ensure effective communication with associates and clients, and coordinate the care of clients and pets in a friendly and efficient manner. Influencing clients to return and refer others is a key part of the role.
Key Responsibilities- Actively recruit new clients by promoting hospital services and routing client and pet flow to ensure superior client care.
- Maximize the number of pets seen by the team through efficient hospital operations.
- Provide professional, efficient, and exceptional service: welcome clients and pets, ensure comfort, and educate them about pet health and hospital services.
- Assist incoming clients by completing documentation, entering pet information, using appropriate identification, and ensuring prompt service.
- Assist outgoing clients by providing instructions, information, invoices, dispensing prescriptions, selling retail products, and scheduling future appointments.
- Manage finances by maintaining accurate balances and performing proper opening and closing procedures.
- Conduct administrative functions as necessary and perform other duties as assigned.
- Competencies: Leadership/customer focus, peer relationships, integrity & trust, action orientation, listening, functional preventative care and OWPs, communication, client service, priority setting, time management.
- Capabilities: Ability to multitask, strong written and verbal communication in English, organizational skills, problem‐solving, client service, intellectual and mathematical ability, computer proficiency (Word, Excel, Access, Outlook).
- Attitudes: Initiative, integrity, cooperativeness, flexibility, independence, stress resilience.
- Must be at least 18 years old for radiography duties and have at least one year of related customer service experience. A background in veterinary, healthcare, or pharmaceutical terminology is preferred.
- Physical requirements:
work at a computer, stand, walk, stoop, kneel, crouch or climb and lift up to 50 pounds; tolerate moderately high noise and exposure to pets, anesthesia, radiation, and medications.
