This role requires a detail-oriented professional capable of managing the complete accounting cycle for a mission-driven organization. The Full Charge Bookkeeper ensures financial integrity by maintaining accurate records, managing grant-specific coding, and preparing the organization for annual federal audits.
Key Responsibilities- 1. Core Financial Management
Maintain the General Ledger and oversee all accounts payable (AP) and accounts receivable (AR).
Perform monthly bank and credit card reconciliations.
Process payroll and ensure compliance with state/federal payroll tax filings.
Manage the monthly, quarterly, and year-end closing processes.
Apply fund accounting principles to track restricted and unrestricted net assets.
Ensure all transactions are coded accurately across various programs, grants, and functional categories (Management & General, Fundraising, and Program Services).
Monitor grant spending and prepare financial reports for donors and grant-making agencies.
- 3. Audit & Reporting
Lead the preparation of work papers and schedules for the annual Federal A-133 Audit (Single Audit).
Generate monthly Financial Statements (Statement of Activities, Statement of Financial Position, and Cash Flow).
Collaborate with external CPA firms for the filing of Form 990.
- 4. Systems & Operations
Maintain high-level proficiency in Quick Books for all accounting entries.
Utilize Advanced Excel for complex data analysis, budgeting, and financial modeling.
- Education: Bachelor’s degree in Accounting, Finance, or a related field highly preferred.
- Technical
Skills:
Expert-level proficiency in Quick Books (Desktop or Online). - Advanced Microsoft Excel skills (Pivot Tables, VLOOKUPs, and complex formulas).
- Knowledge: Deep understanding of GAAP as it relates to non-profit entities.
- Experience: Minimum of 3+ years of full charge bookkeeping experience.
- Direct experience with Federal A-133 / Single Audit requirements and compliance.
- Must pass a DOJ background, reference check and TB Test.
- Strong communication skills to explain financial data to non-financial board members.
- Ability to work independently with minimal supervision.
