Lead and manage all administrative functions, including documentation, filing systems, and internal processes.
Oversee office operations, facilities, vendors, and general services.
Ensure all contracts, licenses, permits, and corporate documents are properly managed and compliant.
Develop, implement, and enforce administrative policies, procedures, and controls.
Coordinate with internal departments to support operational and business needs.
Supervise and manage administrative staff and support teams.
Prepare administrative reports, updates, and summaries for management.
Ensure confidentiality, accuracy, and discipline in all administrative matters.
Identify inefficiencies in administrative processes and act decisively to improve them.
What We’re Looking For 1. Professional Background- Minimum 3 years of experience in administration, office management, or general affairs.
- Proven experience as an Administration Manager, Office Manager, or similar leadership role.
- Experience working closely with directors, senior management, or business owners is highly valued.
- Background in corporate, professional services, hospitality, or fast-moving organizations is an advantage.
- A bachelor’s degree in Business Administration, Management, or a related field is preferred.
- Strong understanding of administrative systems, documentation control, and internal procedures.
- Highly detail-oriented with strong organizational skills.
- Ability to build structure, order, and discipline in administrative operations.
- Comfortable managing multiple priorities and deadlines simultaneously.
- Proven ability to supervise, guide, and hold administrative staff accountable.
- Highly organized, structured, and disciplined in execution.
- Strong ownership mindset — issues are identified early and resolved properly.
- Able to operate effectively in fast-paced, high-demand environments.
- Bahasa Indonesia and English is compulsory, other language will be advantages.
- Clear and professional written and verbal communication skills.
- Able to coordinate effectively with internal teams and external vendors.
- Comfortable dealing with sensitive and confidential matters.
- High integrity, discretion, and sound judgment.
- Calm under pressure, reliable, and trustworthy.
- Strong sense of accountability and responsibility.
- Practical, firm, and solution-oriented.
