Accounts Payable Specialist (Part-Time)
This part-time Accounts Payable Specialist role focuses on accurately processing a high volume of vendor invoices, maintaining organized records, and supporting core accounting activities. You will work closely with vendors and internal teams to ensure timely payments, resolve discrepancies, and contribute to a smooth month-end close.
Responsibilities- Enter and process a high volume of vendor invoices accurately and efficiently in the accounting system.
- Verify invoice details, including pricing, quantities, purchase orders, and approvals, to ensure accuracy and compliance with internal procedures.
- Match invoices to purchase orders and supporting documentation before posting.
- Ensure invoices are coded correctly to the appropriate general ledger accounts, departments, and cost centers.
- Research and resolve invoice discrepancies, payment issues, and variances in a timely and professional manner.
- Maintain organized electronic and physical accounts payable records for easy retrieval and audit readiness.
- Communicate with vendors regarding invoice status, payment inquiries, and any required follow-up documentation.
- Collaborate with internal departments to obtain approvals, clarify invoice details, and resolve outstanding issues.
- Assist with weekly check runs and ACH payment processing to ensure timely disbursement of funds.
- Support month-end closing activities by providing accounts payable reports and reconciliations as needed.
- Assist with audits by compiling and providing requested accounts payable documentation and reports.
- Perform other administrative and accounting-related duties as assigned to support the finance team.
- Hands-on accounts payable experience with invoice processing and vendor payment workflows.
- Practical accounting experience and basic understanding of accounting principles.
- Strong data entry skills with high accuracy and attention to detail.
- Proficiency with Microsoft Excel and the broader Microsoft Office Suite for data entry and reporting.
- Ability to perform reconciliations and resolve discrepancies in accounts payable records.
- Comfort working with invoicing and accounting systems to enter, code, and track invoices.
- Effective verbal and written communication skills for interactions with vendors and internal stakeholders.
- Organizational skills to manage a high volume of invoices and maintain well-structured records.
Skills & Qualifications
- Basic accounting knowledge, including debits, credits, and expense coding.
- Prior data entry experience within Microsoft Office applications, particularly Excel.
- An associate degree in Accounting is a plus.
- Experience supporting audits by gathering and organizing financial documentation is beneficial.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong problem-solving skills to investigate and resolve invoice and payment issues.
This is a part-time, on-site role with a regular schedule of Tuesday through Thursday from 8:00 a.m. to 5:00 p.m. You will work in an office environment using standard accounting and office software, including Microsoft Excel and other Microsoft Office applications. The position requires being on site full time during scheduled workdays, and parking is available for employees.
Job Type & LocationThis is a Contract to Hire position based out of Baltimore, MD.
Pay and BenefitsThe pay range for this position is $24.00 - $26.00/hr.
