We are seeking an Accounting Specialist to support the Sheridan Libraries Finance Office by managing accounting and reconciliation tasks for library materials & collection acquisitions. The role helps ensure accurate financial records, resolves discrepancies, and maintains coordination between Library & University departments.
Specific Duties & Responsibilities- Maintain system-level reconciliation between ALMA and SAP, including running reports and using tools to compare transactions and fund balances.
- Manage specialized payment activity such as foreign wire payments, foreign currency conversions, bank fees, vendor refunds/credits, special shipping charges, and internal cost transfers.
- Oversee the weekly ALMA to SAP invoice export file; monitor the ALMA EDI vendor invoice process
- Create and maintain vendor records in both the Libraries’ Management system (ALMA) and the University’s financial system (SAP)
- Maintain financial records and process related data.
- Monitor, verify, and reconcile accounts.
- Interface with departmental and University personnel to obtain and provide information to verify or support financial records and ensure compliance with established University policies and procedures.
- Prepare correspondence and answer inquiries regarding accounting information as required.
- Analyze accounting information and prepare reports and statements.
- May coordinate the work of lower-level staff as assigned.
- Assist with special projects or tasks as needed.
- Other duties as assigned.
- High school diploma or graduation equivalent.
- Two years of related experience.
- Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.
- Bachelor’s Degree in a related field.
- Previous experience in a high-volume invoice processing environment.
Technical Qualifications & Specialized Certifications
- Proficient use of ALMA or other Library Management Systems.
- Proficiency in Microsoft Office (especially Excel and Word).
