Responsibilities

This role provides operational support for graduate admissions processing and application communication workflows. This position supports document handling + processing, checklist maintenance, decision communication preparation, data intake and validation, system-based communications tied to application and enrollment milestones, and event processing. Work is performed across admissions and CRM systems and supports timely application processing, accurate routing, timely applicant communications, and data integrity.

Essential Duties:

  • Capture, process, and link application documentation received through multiple channels, and link applications.
  • Maintain application checklists and routing status in admissions systems.
  • Prepare and process decision communications including mail merge, imaging, and distribution.
  • Process deferrals, contracts, refunds, and special admissions populations.
  • Import and validate prospect and applicant data from external sources and events.
  • Maintain accurate applicant and prospect populations based on program, term, and application status.
  • Execute system-based application and admit communications tied to admissions and enrollment milestones.
  • Perform quality assurance on data and communications to ensure accuracy and compliance.
  • Configure events and process registrations and attendance tracking.
  • Perform routine data cleanup, deduplication, and reporting to support admissions workflows.
  • Support routine data and admissions systems operational projects as assigned.

Qualifications and Skills

  • High school diploma, or GED, and two years in clerical work.
  • Ability to learn and work with multiple technology systems.
  • Strong attention to detail and ability to maintain data accuracy.
  • Ability to follow detailed procedures and escalate issues appropriately.
  • Effective organization and time management skills.
  • Strong written communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
