About the Role

Join Marian House as a Temporary Executive Administrative Assistant and provide essential support to our Interim CEO/COO. This part-time, temporary position (3–6 months) requires an organized, tech-savvy individual who thrives in a dynamic environment and can manage high-level administrative tasks with professionalism and discretion.

Key Responsibilities
  • Office & Administrative Support:
    Organize digital and physical filing systems, track tasks and deadlines, prepare meeting materials, and maintain an orderly office environment.

  • Technology & Communication:
    Manage calendars, documents, and virtual meetings (Teams, Zoom). Prepare professional documents and correspondence, and assist with basic troubleshooting.

  • Gatekeeping & Interaction:
    Serve as the first point of contact for staff, board members, and external partners. Screen calls, emails, and visitors to prioritize the CEO/COO's time.

  • Mail & Correspondence:
    Handle incoming and outgoing mail, track important documents, and support scanning, signing, and distribution.

  • Meeting Support:
    Schedule meetings, prepare agendas and materials, attend meetings to take minutes, and track follow-up action items.

Qualifications
  • Strong organizational skills and attention to detail

  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Experience with virtual meeting platforms (Teams, Zoom)

  • Previous administrative or executive support experience (nonprofit preferred)

  • Ability to manage confidential information with integrity

  • Reliable, proactive, and able to work independently

  • Professional communication and interpersonal skills

Compensation & Schedule
  • Duration: 3–6 months (temporary)

  • Hours: Part-time (flexible at 20 hours a week)
