Responsibilities- Serves as receptionist for department, answering phones and greeting patients, staff, vendors, and visitors in a welcoming and professional manner.
- Maintains an orderly environment in office area, chapels, sacristy, and on call suite; proactively coordinates cleaning and maintenance for these areas, including of equipment. Proactively monitors supplies in these areas and places orders as needed in consultation with department director.
- Prepares timely and accurate documents and reports for department, including staff meeting agendas and minutes, morning huddle worksheet and reports, flyers, prayer service programs, and sympathy notices.
- Proactively supports financial operations: prepares check requests for invoice payments, maintains accurate financial spreadsheet that tracks all transactions, codes transactions accurately in consultation with department director.
- Maintains accurate department records, including on call report, sympathy notice spreadsheet, patient memorial spreadsheet, and other records as assigned.
- Maintains department calendars, including monthly on call schedule, monthly prayer rotations, and schedule for Pastoral Conference room and Chapel of Light.
- Writes sympathy cards to families of deceased patients; assists chaplains with contacting families for address information as needed. Prepares and mails invitations to families for annual patient memorial service.
- Must possess a high school diploma or GED
- AA Degree preferred
- 2 years administrative experience
